Department: Engineering

Reports to: Engineering Manager

Job Summary

Reporting to the Engineering Project Delivery Manager, the Document Controller assists the engineering team in achieving client satisfaction by delivering "Best for Project solutions for Engineering projects. Set up, implement and operate "right sized" Document Management systems for engineering projects in Project Wise, Vault, and SharePoint environments, with flexibility to learn and adapt other database driven systems.

Essential Duties and Responsibilities

This description lists the core responsibilities and duties of the position. Additional duties deemed to be within the incumbent's capabilities, on an as required basis, might be assigned by management.

  • Work within the existing ProjectWise and Vault document management system and aid in implementing improvements as required
  • Administer engineering group collaboration tools such as Bluebeam and TEAMS
  • Administer engineering group document management protocols
  • Perform project document archival activities for all project related documents
  • Prepare reports, memorandums, tracking logs and other documents as assigned by the
  • Engineering Project Delivery Manager and Engineering Project Managers
  • Maintain controlled documents and notify affected departments and external vendors and suppliers when changes are made
  • Examine documents, such as drawings, change orders, and specifications to verify completeness and accuracy of issuance data
  • Confer with document originators or engineering liaison personnel to resolve discrepancies and compile required changes to documents
  • Manage document review workflows as required for both project related and group related documents
  • Prepare transmittals for company documents and client invoices and distribute and track as required
  • Other duties as assigned

Health and Safety

  • Work in compliance with all Health and Safety rules and regulations for Cementation
  • Be aware of any health and safety hazards or infractions and report same to Health and Safety Department
  • Ensure all applicable safety codes and regulations are met by appropriate design and use of technology
  • Be a champion for safety, advocating safe behavior while incorporating safety into the designs produced by the group

Travel Requirements

  • This position has the requirement for occasional travel to project sites and offices
  • Travel period may range from one day to several weeks and may include overseas assignments

Education and Experience

  • Applicable Post-Secondary Technician or Technology Diploma
  • 3+ years of related experience preferably in a mining, engineering or construction industry with an emphasis on document control.
