Position Summary

Lonestar Electric Industrial Supply is seeking a Quality Systems Coordinator to support the administration, maintenance, and continual improvement of the company's Quality Management System (QMS). Reporting to the Quality Manager, this role serves as the administrative and cross-functional operating arm of the Quality Management System by maintaining controlled quality information, coordinating supplier and customer quality activities, converting operational data into performance metrics, and ensuring documentation and objective evidence remain current for audits and management review.

The Quality Systems Coordinator drives implementation and follow-through across departments while supporting compliance with company procedures, customer requirements, and quality standards. Final approval authority for Quality Management System policies, supplier status decisions, corrective action effectiveness, concessions, and external quality commitments remains with the Quality Manager.


Responsibilities:

  • Administer controlled documents from draft routing through approval, revision, effective date, master register updates, distribution, retrieval, and obsolete document control.
  • Maintain Quality Management System documentation to ensure controlled information remains current, accurate, and accessible.
  • Maintain the training matrix, role-based training assignments, employee acknowledgments, competency records, and follow-up on overdue training requirements.
  • Track quality-related Return Material Authorizations (RMAs), customer complaints, and Nonconformance Reports (NCRs), while monitoring supporting documentation and closure status.
  • Coordinate supplier qualification records, questionnaires, certifications, documentation requests, supplier scorecards, corrective action requests, and response follow-up activities.
  • Compile and maintain supplier performance metrics, including quality performance, on-time delivery, complete shipment performance, documentation compliance, corrective action responsiveness, and customer impact trends.
  • Coordinate Quality Management System requirements across Purchasing, Sales, Warehouse Operations, Accounts Payable, suppliers, customers, and other business functions.
  • Prepare documentation, evidence indexes, action registers, status reports, quality trend summaries, monthly quality performance reports, and management review materials.
  • Support process mapping, internal audits, risk assessments, corrective action verification, customer-specific quality documentation, and continual improvement initiatives.
  • Monitor quality system activities, maintain quality records, and ensure documentation supports traceability, compliance, and audit readiness.
  • Coordinate follow-up on open quality actions and escalate overdue items, missing documentation, conflicting information, or material quality risks to the Quality Manager.
  • Support the maintenance, effectiveness, and continual improvement of Lonestar's Quality Management System, including customer-specific quality requirements, compliance activities, performance reporting, and related documentation.
  • Perform other duties as assigned by management.

Requirements:

  • High school diploma or GED required; Associate's or Bachelor's degree in Business, Quality, Supply Chain, Industrial Technology, or a related field preferred.
  • Minimum of three years of experience in operations support, quality coordination, compliance administration, customer coordination, logistics, account management, training administration, or a related business function.
  • Demonstrated ability to maintain accurate records, coordinate cross-functional activities, manage multiple priorities, and support timely issue resolution.
  • Strong written and verbal communication skills with exceptional attention to detail and documentation accuracy.
  • Ability to interpret and follow established procedures while identifying inconsistencies and escalating incomplete, overdue, or conflicting information.
  • Strong organizational, analytical, and problem-solving skills.
  • Proficiency with Microsoft Office Suite, including Excel.
  • Experience working with ERP, CRM, document management, or similar business systems.

Preferred Qualifications:

  • Experience supporting onboarding, employee training, procedure communication, workflow management, or role-based training programs.
  • Experience supporting ISO 9001:2015 Quality Management Systems.
  • Familiarity with supplier scorecards, document control, corrective action processes, customer complaints, Nonconformance Reports (NCRs), audit preparation, and quality performance reporting.
  • Experience in electrical distribution, industrial supply, manufacturing, logistics, project support, or other high-volume operational environments.

Physical Requirements:

  • Must be able to remain in a stationary position 50% of the time.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Occasionally moves throughout office and warehouse environments to support quality activities.
  • Occasionally lifts or moves items weighing up to 25 pounds.
  • Ability to travel up to 5% for training, branch support, supplier visits, customer audits, or other quality-related activities.
