Inbound and Outbound Logistics Specialist

Position Summary

The Inbound and Outbound Logistics Specialist coordinates the flow of raw materials, work-in-process, and finished goods through our facility. This role manages receiving of inbound shipments and the scheduling, staging, and shipping of outbound orders, ensuring materials and products move accurately, on time, and in compliance with customer and carrier requirements. It is the physical execution point for the plans set by Purchasing and the commitments made by Customer Service — working closely with both to keep material availability aligned with

production demand and to ensure on-time delivery to customers, including key partners such as Brightstar.


Essential Duties & Responsibilities

Inbound Logistics

• Receive, inspect, and verify incoming shipments of raw materials, substrates, inks, and supplies against purchase orders, packing slips, and bills of lading.

• Record all receipts accurately in NetSuite — quantities, lot numbers, and locations — so Purchasing’s inventory records stay reliable.

• Document and report receiving discrepancies, damage, or shortages to Purchasing and Quality the same day, and initiate carrier or supplier claims as needed.

• Coordinate inbound delivery appointments and dock scheduling with suppliers and carriers to minimize congestion and demurrage.

• Stage and put away received materials in designated storage locations following FIFO and 5S standards.


Outbound Logistics

• Plan, schedule, and coordinate outbound shipments to meet customer delivery dates and carrier pickup windows.

• Pick, stage, and verify finished goods against sales orders, ensuring correct product, quantity, labeling, and packaging per work instructions.

• Generate bills of lading, packing lists, shipping labels, and required customer or state-specific documentation.

• Arrange freight with LTL, FTL, and parcel carriers; obtain rates and select cost-effective, on-time transportation options.

• Process shipment transactions in NetSuite and provide tracking and delivery information to Customer Service so customers can be updated promptly.


General & Cross-Functional:

• Maintain inventory accuracy through cycle counts and reconciliation of physical stock to system records, in coordination with the Inventory and Purchasing Specialist.

• Partner with production scheduling to ensure raw material availability supports the production plan and to flag potential shortages.

• Support resolution of past-due POs, oversold SKUs, and slow-moving inventory alongside Purchasing and Operations.

• Operate material handling equipment, including forklifts, safely and in accordance with certification requirements.

• Maintain a clean, organized, and safe work area in compliance with OSHA and company safety policies (LOTO, PPE, housekeeping).

• Perform other duties as assigned to support warehouse and logistics operations.

This position turns plans and promises into physical reality. Fast, accurate receiving keeps inventory data trustworthy; disciplined outbound execution is what makes Customer Service’s ship-date commitments come true.

• Supports Inventory & Purchasing by: entering receipts accurately and immediately, flagging discrepancies and damage the same day, and following FIFO/5S so on-hand counts match reality.

• Supports Customer Service by: meeting scheduled ship dates, confirming shipment and tracking details in NetSuite promptly, and giving early notice of any freight or carrier delay that affects delivery.

• Relies on Purchasing for: accurate POs and expected-receipt dates so dock appointments and put-away can be planned without congestion.

• Relies on Customer Service for: clear sales-order details — packaging, pallet configuration, labeling, and required customer/state documentation — well ahead of the pickup window.

Qualifications & Requirements

• High school diploma or equivalent required; associate degree or coursework in logistics, supply chain, or business

preferred.

• 2+ years in shipping/receiving, warehouse, or logistics operations, preferably in a manufacturing environment.

• Working knowledge of ERP/inventory systems; NetSuite experience strongly preferred.

• Familiarity with freight carriers, BOL processing, and standard shipping/receiving documentation.

• Proficiency with basic computer applications, including email and spreadsheets.

• Forklift certification, or ability to obtain certification upon hire.

• Strong attention to detail, organizational skills, and ability to manage multiple priorities under deadlines.

• Effective written and verbal communication for cross-functional coordination.

Physical Requirements & Work Environment

• Ability to lift and move up to 50 lbs regularly and stand, walk, bend, and reach throughout the shift.

• Work performed in a manufacturing and warehouse environment with exposure to noise, moving equipment,

and varying temperatures.

• Required use of personal protective equipment (PPE) as designated by facility safety policies.
