Job description

ย KM Associates of New York, Inc., a leader in construction expediting and code & zoning consulting, is seeking a Senior Project Manager with direct, hands-on experience expediting projects through the NYC Department of Buildings and related agencies.
In this role, you will manage complex filings from inception through approval, coordinate with city agencies, consultants, and internal teams, and ensure projects move efficiently through NYCโ€™s regulatory process. Weโ€™re looking for someone who understands DOB systems inside and out, anticipates issues before they arise, and can confidently drive projects forward in a fast-paced, detail-driven environment.
Essential Responsibilities:
Project & Client Management:
  • Manage the full lifecycle of expediting projectsโ€”from assignment through completionโ€”with accountability for all deliverables.
  • Lead client meetings, whether in-person, via Zoom, or through conference calls, providing clear guidance on filing strategies and agency interactions.
  • Communicate with executives, managers, and clients to ensure alignment with company goals and project expectations.
  • Prepare and manage project change orders, contracts, and all related documentation.

Agency Coordination & Compliance:
  • Handle every aspect of application filings across New Buildings, Alt-1, Alt-2, Alt-3, and Place of Assembly projects.
  • Prepare CCD-1s, ZRD-1s, and other required forms with precision.
  • Attend agency appointments with plan examiners, project advocates, and municipal representatives.
  • Resolve objections and coordinate approvals across DOB, DOT, FDNY, DEP, LPC, and other regulatory agencies.

Technical & Operational Oversight:
  • Interpret and review architectural and engineering plans to ensure accuracy and compliance.
  • Develop and manage both short- and long-term project schedules, adjusting timelines and deliverables as required.
  • Maintain organized and accurate project tracking using internal systems, including Salesforce and Excel.
  • Train and mentor project management staff, offering technical guidance and support.
  • Actively participate in daily huddles, team meetings, and cross-functional discussions to ensure smooth project execution.

Professional Standards:
  • Exhibit professionalism in all interactions, producing polished, detailed, and comprehensive correspondence.
  • Uphold the highest level of organizational discipline in managing personal workload and deadlines.

Qualifications:
  • Minimum of 5 years experience in NYC expediting and project management, with proven expertise in DOB and agency processes.
  • Strong working knowledge of DOB, LPC, FDNY, DOT, DEP and other regulatory bodies.
  • Comprehensive understanding of building codes, zoning resolution, and compliance procedures.
  • Advanced organizational and project management skills, with the ability to manage multiple high-stakes projects simultaneously.
  • Experience with Salesforce or project tracking software preferred.
  • Strong Excel aptitude required.
  • College degree preferred (or equivalent professional experience).
