General Statement
To perform administration duties for Executive Managers. To assist and manage assigned Human Resources functions, including payroll assistance, PTO entry, HR paperwork management and to perform general office administration.
Duties, Responsibilities & Authority:
- Support onboarding logistics, including new hire paperwork, I-9 verification, orientation scheduling, and first-week coordination with site HR teams
- Respond to routine employee inquiries regarding policies, procedures, and HR processes, escalating complex matters as appropriate.
- Support employee engagement and recognition initiatives, including event coordination and internal communications.
- Maintain HR compliance documentation and assist with audits, recordkeeping, and required postings.
- Update HR dashboards, trackers, and reporting templates with accurate, current data, and assist with routine reporting requests.
- Manage calendars, scheduling, and meeting logistics for one or more senior leaders, proactively resolving conflicts and prioritizing competing requests.
- Handle confidential and sensitive information — personnel matters, compensation data, organizational changes — with discretion and sound judgment.
- Lead Employee engagement activities throughout the company including planning events, newsletter creation, and maintaining employee information boards
- Anticipate the needs of supported leaders and proactively manage logistics to keep their priorities moving forward
- Assist Human Resources staff with paperwork and scheduling of interviews, recruiting activities, orientations, training new employees, managing temporaries, set up of new employee’s files and other assigned projects
- General office and plant administration, such as answering incoming calls and sorting incoming mail.
- Conduct the necessary arrangements for visitors.
- Perform events management and public relations functions, as necessary.
- Support special projects and ad hoc initiatives assigned by leadership
- Anticipate the needs of supported leaders and proactively manage logistics to keep their priorities moving forward
- Additional duties as assigned by management.
Job Requirements / Qualifications
- Preferred: Bachelor’s degree or equivalent general office experience.
- Previous 1-2 years Human Resource experience preferred.
- Must have effective verbal and written communication skills: both internally, and externally.
- Must be detail oriented, dependable and trustworthy: able to work with confidential material.
Physical Demands
- Must be able to stand/walk for 8 hours
- Must be able to push/pull/ lift at least 45 lbs. individually and 50 lbs. with the help of a team member
- Ability to work in an office setting, and spend primary working hours at a desk using a computer and other office equipment such as printers, copiers, postage machines, etc.
