 What You’ll Do

As a DME Coordinator, you will:

  • Serves as a subject matter expert (SME) to physicians, clinical staff, and healthcare partners, providing advanced
    product guidance, workflow consultation, and protocol development for new and existing products to optimize
    patient outcomes and operational effectiveness.
  • Oversees coordination of durable medical equipment (DME) services within the electronic health record (EHR)
    system, ensuring accurate patient registration, scheduling processes, and compliance with time-of-service (TOS)
    payment practices.
  • Dispenses prescribed DME in accordance with provider orders and patient-specific needs while providing clinical
    feedback to support appropriate selection and dispensing decisions.
  • Performs advanced fitting, application, and adjustment of DME products, including functional and semi-rigid
    bracing, applying clinical expertise, training, and company standards to complex patient scenarios.
  • Independently assesses patient needs and performs measurements and fittings for orthopedic soft goods and
    functional bracing, including non-routine or highly specialized cases requiring elevated judgment.
  • Provides comprehensive education to patients and consultative feedback to healthcare providers regarding product
    use, clinical considerations, and expected outcomes, ensuring appropriate documentation and continuity of care.
  • Delivers exceptional patient service and timely follow-up in accordance with policies, procedures and management
    expectations.
  • Utilizes Breg Vision to oversee DME inventory management by monitoring utilization, ordering supplies, and
    directing stock levels, storage, and merchandising practices to ensure alignment with operational, compliance, and
    financial objectives.
  • Provides consultative on-site DME support and product delivery across assigned accounts, resolving complex service
    or product issues (e.g., missed pickups or equipment concerns) while strengthening customer relationships within
    the health system.
  • Processes warranty returns for wholesale products by initiating Return Materials Authorizations (RMAs),
    coordinating exchange processing with Customer Care team, and manages preparation and shipment of
    returned items in accordance with the account's return policy .
  • Partners with providers and internal stakeholders to evaluate and approve exception-based patient return
    scenarios, ensuring appropriate financial and operational outcomes.
  • Executes patient outreach initiatives and campaigns related to DME orders and follow-up care.
  • Collaborates with third-party billing providers to coordinate Estimated Out-of-Pocket (EOOP) costs, Prior
    Authorizations (PAs), and related processes.
  • Maintains accurate provider and product data within Breg Vision in partnership with the Impact Team.
  • Facilitates training and knowledge transfer for customer site staff, including walk-in clinic personnel, to enhance
    adoption of Breg (e.g., Vision) systems and product utilization.
  • Collaborates with cross-functional teams (e.g., Solutions, Sales, Field Operations, Customer Care) to resolve issues
    and enhance service efficiency.
  • Maintains a high level of professionalism, discretion, and confidentiality while ensuring accuracy and compliance in
    all activities.
  • Prepares daily, weekly, and monthly reports for management and account review, analyzing data for trends and
    identifying opportunities for process or performance improvement.
  • Adheres to all Breg policies, standard operating procedures (SOPs), applicable healthcare regulations, including
    Health Insurance Portability and Accountability Act (HIPAA) and Food and Drug Administration (FDA) requirements,
    as well as policies and procedures of the assigned customer account.
  • Responsible for behaving in a professional manner both internally and externally in relationships that positively
    impact the company's reputation and comply with the company's policies and practices. Responsible for being
    accountable and committed to demonstrating cultural beliefs and achieving the key results of the company.
  • Responsible for promoting Breg's culture within the organization using established tools such as storytelling,
    providing focused feedback, and recognition. The performance of the position is aligned with the culture of
    commitment and accountability, following the steps of: See it, Own it, Solve it, and Do it.

 What You Bring

  • Associates degree in a healthcare-related field, completion of an approved healthcare certification or certificate
    program required. Experience may be considered in lieu of education.
  • Minimum of 2 years of experience in a healthcare environment, preferably with hands on experience in orthotics,
    athletic training, sports medicine, DME, or patient care, required.
  • Holds and maintains applicable certification or licensure such as American Board Certification (ABC) Certified
    Fitter-orthotics (CFo), Board of Certification (BOC), Athletic Training licensure, Orthopaedic Technologist
    Certification, preferred.
  • Previous experience in DME preferred.
  • Knowledge of electronic health records (EHR), preferably Athena, and understanding of where various data points
    and clinical information is located required.
  • Experience with practice management software (PMS) preferred.
  • Experience with surgical scheduling and workflow management software preferred.
  • Familiarity with standard workflows and procedures in orthopedic clinics or physician offices required.
  • Knowledge of orthopedic bracing and supply products, as well as the applicable procedures for utilization, is
    required.
  • Experience using artificial intelligence productivity tools such as Microsoft Copilot, ChatGPT, or Claude preferred.
  • Computer proficient to include web browser/internet search, Microsoft (MS) Outlook, Word, Excel, PowerPoint,
    and Teams capabilities. Technical competence includes the ability to learn new software and systems.

Compensation

Salary Range: $48,000-$50,000 US. Actual compensation is determined by factors such as experience, skills, and business needs. This range reflects the minimum and maximum target range for new hire base salary/pay across all US locations. Actual pay is based on many factors unique to each candidate, including but not limited to geographical location, work experience, skill set, relevant trainings and certifications, and business needs. The base pay range is subject to change and may be modified in the future. This role may also be eligible for a variable comp plan paid out on a quarterly basis.
