The Duke Divinity School is seeking a highly skilled and service‑oriented Administrative Assistant to join our dynamic administrative and finance team. In this role, you will directly support the mission of the Divinity School by ensuring that key administrative and financial processes run smoothly, accurately, and efficiently. You will collaborate closely with colleagues across multiple programs and centers, helping them navigate policies, resolve administrative challenges, and streamline workflows. Each day, you will use your judgment, problem‑solving skills, and knowledge of Duke policies to make decisions, support operations, and keep critical business functions moving forward. If you enjoy working in a mission‑focused environment, have strong attention to detail, and thrive on supporting others, this role offers the opportunity to make a meaningful impact across the school. You will join a supportive team, work with leaders across departments, and help shape operational excellence under the guidance of the Associate Dean for Administration and Finance.

Minimum Requirements: High school education (or equivalent) plus two years of post‑secondary education in a business‑related field. Four years of related business or administrative experience with exposure to personnel practices, accounting/budgeting principles, and coordination of major office activities. OR an equivalent combination of relevant education and/or experience.

Preferred Qualifications: Demonstrated experience supporting financial processes, such as maintaining budgets, processing transactions, or preparing reports. Experience interpreting policies, communicating guidance, or supporting compliance within an academic, nonprofit, or similarly complex environment. Strong analytical and organizational skills with the ability to manage multiple priorities. Proven ability to collaborate successfully with diverse teams and stakeholders.

In this role, you will have the opportunity to lead and support essential operational functions, including: Interpret and apply Duke University and Divinity School policies and procedures, providing guidance and best‑practice recommendations to programs and centers. Exercise delegated authority to implement policies and support management practices across supported units. Maintain and track financial records for assigned grants, programs, and centers, including preparing summary and detailed financial reports. Process a high volume of administrative and financial transactions, including routine tasks and more complex work such as contracting and payroll actions. Analyze operational needs and trends, offering recommendations to improve processes, enhance business operations, and support mission‑aligned planning. Perform other related duties incidental to the work described above, contributing to the school's administrative excellence.
