Job description

Logistics Coordinator

Job Overview:

In this position, the Logistics Coordinator plays a critical role in ensuring the accurate, efficient, and safe movement of materials and products in and out of the warehouse. This position is responsible for preparing orders for shipment, verifying product accuracy, maintaining organized storage areas, and supporting the overall flow of goods to meet customer and operational requirements. This role requires a detail-oriented individual, highly organized, physically capable of handling heavy materials, and able to work in a fast-paced environment while maintaining a high level of accuracy and safety. This role interacts directly with warehouse team members, distribution team, drivers, and occasionally suppliers, clients, and/or vendors to ensure on-time and error-free deliveries.

Reports to: Warehouse Manager

Job Responsibilities:

• Pack, and prepare orders for shipment according to company standards and client specifications.

• Verify accuracy of order contents against shipping documentation and sales orders from Cin7.

• Select appropriate packaging materials to prevent damage during transit.

• Create and affix shipping labels, bills of lading, and other required documentation.

• Coordinate with carriers for scheduled pickups and deliveries.

• Load outbound trucks safely and in compliance with weight limits and securing procedures.

• Receive, unload, and inspect incoming shipments for damage, shortages, or incorrect items.

• Take photographs, document in Cin7, and report any discrepancies, damages, or missing items from any deliveries to the Procurement Administrator.

• Move and stage materials within the warehouse using forklifts, pallet jacks, or other approved equipment.

• Handle large, bulky, and heavy items (such as doors, frames, and hardware) with appropriate lifting techniques or team assistance.

• Maintain accurate counts during material transfers between departments or storage areas.

• Record all shipping, receiving, and transfer activities in Cin7.

• Maintain proper documentation for compliance and audit purposes.

• Inspect products for visible defects or quality issues before shipment.

• Ensure that all materials meet customer and internal quality standards.

• Follow established handling procedures for fragile, hazardous, or high-value items.

• Follow all company safety policies, including proper PPE usage, equipment operation, and lifting procedures.

• Keep work areas clean, organized, and free from hazards.

• Comply with OSHA and DOT regulations related to shipping, handling, and storage.

• Immediately report safety hazards, near-misses, or incidents to management.

• Collaborate with Sales Coordinator, Fulfillment coordinators, and drivers to meet shipping schedules.

• Communicate shipment delays, product shortages, or order changes to the appropriate department.

• Assist other warehouse functions (receiving, staging, returns) during peak workload periods.

Qualifications:

Required:

  • 3–5 years of purchasing or procurement experience, preferably in the construction, facilities, or building materials industry.
  • Working knowledge of doors, windows, glass, and commercial hardware.
  • Proficiency in Microsoft Excel and other standard business software.
  • Strong communication and organizational skills.
  • Strong Negotiation skills in order to secure favorable terms and pricing from suppliers.
  • Ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
  • Ability to lift up to 50 lbs. occasionally.

Preferred:

  • Experience working with Allegion, Assa Abloy, Hagar, Special lite, Products.
  • Experience with third-party facilities platforms
  • Bachelor’s degree in Business Administration, Supply Chain Management, Construction Management, or related field.

Physical Demands:

  • Ability to sit or stand for extended periods.
  • Occasional lifting, carrying, or handling of materials up to 50 lbs.
  • Use of computer, phone, and office equipment on a daily basis.

Work Environment:

  • Office and warehouse environment.
  • Occasional vendor or supplier communication via phone, video conference, or in-person meetings.
  • Involves interaction with client systems and portals.

Skills & Qualifications

• High school diploma or equivalent required.

• 1–2 years of shipping/receiving or warehouse experience preferred.

• Ability to operate forklifts, pallet jacks, and other material-handling equipment (certification preferred).
