As a Workplace Experience Coordinator, you will play a key role in delivering an exceptional workplace experience for employees, clients, and visitors. Acting as the front-line ambassador for the office, you will provide administrative, operational, and client service support while helping ensure the workplace runs efficiently and professionally. This position is ideal for someone who thrives in a fast-paced environment, enjoys helping others, and takes pride in creating a welcoming and productive workplace.

  • Welcome employees, clients, and visitors, ensuring a first-class experience from arrival through departure.
  • Serve as a primary point of contact for workplace-related questions, requests, and support.
  • Manage visitor registrations and the Visitor Management System.
  • Coordinate meeting room bookings, room setup, catering requests, and technology support.
  • Answer telephone and email inquiries professionally and promptly.
  • Manage shared inboxes and respond to workplace service requests.
  • Support mail, courier services, deliveries, and document distribution.
  • Assist with workplace security, access cards, and key holder responsibilities.
  • Troubleshoot office equipment and meeting room technology issues and coordinate vendor support when required.
  • Support workplace initiatives, projects, and operational activities as assigned.
  • Provide coverage for reception and workplace operations functions during absences and peak periods.

  • Comfortable working independently and collaboratively within a team environment.
  • Proficiency with Microsoft Office Suite, including Outlook, Teams, Excel, and Word.

  • Adaptable, proactive, and solution-oriented with strong attention to detail.
  • Receptionist, Office Coordinator, Workplace Experience Associate, Hospitality Coordinator, Executive Assistant, or Administrative Assistant background.
  • Experience supporting corporate offices, professional services firms, hospitality environments, or large-scale workplaces.
  • Enjoys interacting with people and creating positive workplace experiences.
  • Highly organized, dependable, and customer-focused.
