Job Description:

JOB SUMMARY

Under the general supervision of the Registrar, the Registrar's Office Assistant provides administrative and customer service support for the Office of Student Records. This position serves as the first point of contact for students, faculty, staff, and the public by assisting with inquiries, processing routine records requests, and supporting the daily operations of the Registrar's Office. The position performs a variety of clerical and operational duties while ensuring the confidentiality and integrity of student records in accordance with institutional policies and FERPA regulations.

MAJOR DUTIES

  • Serve as the primary front desk representative for the Office of Student Records.

  • Greet students, faculty, staff, and visitors in a professional and courteous manner.

  • Answer incoming telephone calls and respond to departmental email inquiries in a timely manner.

  • Provide general information regarding registration, enrollment verification, transcripts, graduation, and other student records services.

  • Direct students and visitors to the appropriate department when necessary.

  • Process routine transcript requests and enrollment verification requests.

  • Assist students with graduation application procedures and related documentation.

  • Receive, review, and route student forms for processing.

  • Scan, index, and electronically maintain student records.

  • Assist with document imaging and records retention in accordance with college procedures.

  • Maintain confidentiality of student records in compliance with FERPA and institutional policies.

  • Monitor and manage departmental email inboxes.

  • Assist with data entry and routine Banner updates assigned.

  • Maintain office supplies and order materials as needed.

  • Prepare routine reports, spreadsheets, and correspondence.

  • Assist with mail distribution and outgoing correspondence.

  • Maintain organized electronic and physical filing systems.

  • Assist with graduation preparation, commencement activities, and special events.

  • Provide administrative support during registration, graduation, and other peak enrollment periods.

  • Provide support for National Student Clearinghouse enrollment verification processing.

  • Crosstrain in departmental procedures to provide coverage during staff absences.

  • Work collaboratively with Admissions, Advising, Financial Aid, Academic Affairs, and other campus departments to assist students and resolve routine records-related questions.

  • Maintain positive working relationships with faculty, staff, and students while providing excellent customer service.

  • Participate in departmental meetings, professional development, and college committees as assigned.

  • Perform other duties as assigned by the Registrar.

COMPETENCIES

Must demonstrate strong technology and computer applications skills, customer service, organizational skills, verbal and written communication skills. Flexibility of travel if necessary.

MINIMUM QUALIFICATIONS

A high school diploma or high school equivalency and at least 2 years of full-time related work experience required.

PREFERRED QUALIFICATIONS

A credential in Business Technology or a closely related field from an accredited post-secondary college or university is strongly preferred. At least 1 year of full-time related work experience is required.

Minimum Qualifications:

High school diploma or equivalent *and* One (1) year of work related experience
