Essential Job Duties
The Online and Distance Education (ODE) Program Specialist supports the ODE Administrative Services team and reports to the Director of Online and Distance Education. ODE provides leadership and operational support for NC State's online and distance education programs, partnering with academic units and campus teams to support program operations, student and faculty services, compliance, and effective program delivery.
In this role, you will provide administrative and operational support across admissions and enrollment, student and faculty services, systems and records, communications, website administration, and daily program operations. You will apply university, state, and distance education policies, resolve issues, maintain accurate information, and collaborate with campus partners to deliver responsive, consistent service.
Program Administration and Admissions Support
As part of the team, you will support admissions and enrollment processes while ensuring accurate, efficient, and compliant program operations.
  • Process Non-Degree Studies (NDS) applications in SLATE and complete related registration actions in PeopleSoft (SIS), monitoring workflows, researching issues, and coordinating timely resolutions.
  • Serve as a responsive resource for distance education students, faculty, staff, academic departments, colleges, and campus partners, addressing questions and resolving issues through ServiceNow, email, telephone, and direct consultation.
  • Apply university and state requirements related to admissions, enrollment, academic standards, campus safety, international students, and distance education policies.
  • Research and resolve admissions, registration, enrollment, and distance education questions through ServiceNow, email, and telephone, providing clear and accurate guidance.
  • Collaborate with Enrollment Management and Student Affairs (EMAS), Registration and Records, and other campus partners to resolve admissions, registration, and enrollment matters.
  • Develop, improve, and maintain standard operating procedures, training materials, and process documentation.

Systems, Data and Operational Support
You will help maintain reliable systems, accurate records, and efficient day-to-day operations that support online and distance education.
  • Maintain program databases, records, websites, and related systems, ensuring data accuracy, quality control, compliance with university standards, and current website content through WordPress.
  • Support DELTA systems and tools, including Moodle, Canvas, and ServiceNow, by maintaining accurate information, consistent service, and effective operational processes.
  • Troubleshoot system and operational issues, coordinate timely resolutions with DELTA teams and campus partners, and collaborate on the ODE website, Virtual Orientation, and ODE/DELTA systems.
  • Maintain current website content through WordPress, reviewing information and coordinating updates when resources become outdated or inaccurate.

Communication and Marketing
You will have the opportunity to support clear, accurate communications and contribute to marketing and recruitment efforts that promote ODE programs and services.
  • Communicate admissions, registration, distance education, and university policies clearly and accurately while supporting ODE graduate and program communications through email, newsletters, and tools such as Yet Another Mail Merge (YAMM).
  • Maintain accurate, current ODE website content that supports program communications, marketing, and recruitment; review resources regularly and coordinate updates to outdated or inaccurate information.
  • Support marketing and recruitment initiatives by adding new programs to the ODE website, generating Lightcast Analyst labor market data reports, and collaborating with program coordinators and campus partners.

  • Supports DE Directors and Coordinators meetings and forums by assisting with planning, coordination, materials, and logistics.
  • Supports DELTA Testing Services during final examinations and at other times as needed.
  • Participates in ODE initiatives, process improvements, and special projects.

Qualifications
Minimum Experience/Education
Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Preferred Qualifications
  • Software Proficiency: In-depth knowledge of WordPress, Google Workspace, and Microsoft Office Suite (Word, Excel).
  • University Policies: Familiarity with university policies and procedures, including regulatory compliance and operational guidelines.
  • Customer Service: Skills in providing excellent customer service, addressing inquiries, and resolving issues efficiently.
  • Judgment and Discretion: Competence in handling sensitive and confidential information with care.
  • Proficient in conveying information with reference to guidelines, operational systems, policies, and procedures to faculty, staff, students, and stakeholders.
