Job description

Title: Senior Accounts Receivable Specialist

Type: Contract

Compensation: $30-33/hr

Office Schedule: Hybrid

Located: Arlington, VA

Position Overview

The Senior Accounts Receivable Associate will play a key role in maintaining the accuracy and integrity of customer accounts while supporting the company's cash collection and revenue processes. This individual will be responsible for account reconciliations, payment application, collections, dispute resolution, and month-end close activities. The ideal candidate will have strong analytical skills, a customer-service mindset, and experience working in a fast-paced accounting environment.

I. Key Responsibilities

  • Manage and maintain assigned customer accounts to ensure accurate account balances and timely payment activity.
  • Perform account reconciliations, investigate discrepancies, and resolve outstanding issues.
  • Identify opportunities to improve reconciliation and collection processes and assist with implementation of process enhancements.
  • Maintain detailed account documentation and ensure records remain current and audit-ready.
  • Communicate professionally with customers and internal stakeholders regarding account status, payment activity, and issue resolution.
  • Conduct collection efforts via phone and email while maintaining positive customer relationships.
  • Research and resolve invoice disputes, deductions, chargebacks, and payment discrepancies.
  • Maintain customer account information within the ERP system and ensure records remain accurate.
  • Partner with third-party vendors, distribution partners, and internal departments to resolve billing and payment issues.
  • Review and clear unapplied cash, suspense accounts, and other outstanding receivable balances.
  • Create and maintain customer and vendor records, including portal registrations and account setup requirements.
  • Process customer invoices, credit memos, debit memos, rebates, refunds, transfers, and write-off requests.
  • Monitor customer prepayments and ensure proper application against outstanding invoices.
  • Manage daily cash receipt activity, check deposits, and payment postings.
  • Support international accounts by assisting with withholding tax documentation and compliance requirements.
  • Collaborate with contract administration and sales teams regarding customer agreements, credits, and billing matters.
  • Assist with month-end close responsibilities, including aging reviews, bad debt reserve analysis, balance sheet reconciliations, and reporting.
  • Provide documentation and support for internal and external audit requests.
  • Perform additional accounting and accounts receivable duties as needed.

II. Qualifications

Required Experience

  • 2-3+ years of Accounts Receivable, Collections, or General Accounting experience.
  • Experience managing customer accounts, reconciliations, and payment applications.

Education

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Equivalent combination of education and relevant experience will be considered.

III. Desired Skills

  • Strong Microsoft Excel skills; advanced Excel experience is highly preferred.
  • Experience working within ERP systems and large-volume transactional environments.
  • Experience with Microsoft Dynamics 365, or similar accounting systems is a plus.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail and organizational abilities.
