Dispatching Manager information

What does a dispatching manager do?

A Dispatching Manager oversees the scheduling, coordination, and management of dispatch operations within a company, often in industries like transportation, logistics, or emergency services. Their primary role is to ensure that vehicles, staff, or resources are allocated efficiently and operations run smoothly. They supervise dispatchers, handle customer or client communication, address any operational issues, and work to meet delivery or service timelines. Additionally, Dispatching Managers may analyze performance metrics and implement improvements to optimize efficiency and service quality.

What are the key skills and qualifications needed to thrive as a dispatching manager?

A Dispatching Manager needs strong organizational, problem-solving, and leadership skills, typically supported by experience in logistics or transportation management. Familiarity with dispatch software, GPS tracking systems, and sometimes relevant certifications like Certified Dispatcher are important technical qualifications. Excellent communication, decision-making, and the ability to remain calm under pressure are crucial soft skills for this role. Mastery of these skills ensures efficient coordination of resources, timely deliveries, and effective team management in a dynamic environment.

What are some common challenges faced by a dispatching manager, and how can they be effectively addressed?

Dispatching Managers often encounter challenges such as coordinating schedules for multiple drivers, handling last-minute route changes, and ensuring timely deliveries despite unexpected delays. To address these issues, successful Dispatching Managers utilize advanced logistics software, maintain clear communication channels with drivers and clients, and develop contingency plans for common disruptions. Building strong relationships within the team and staying adaptable are key to managing the dynamic nature of dispatch operations.

Job description

Breakdown Dispatch Manager
Full-Time | On-Site | Management Position | 24/7 Operation
SUMMARY
All Fleet, Inc. is a growing mobile truck and trailer repair company providing breakdown response, roadside repair,
preventative maintenance, and fleet support to commercial transportation customers.
As we continue expanding our operations, we are looking for an experienced Breakdown Dispatch Manager to lead
and develop our Chicago-area dispatch operation.
This is not an entry-level dispatch position. We are looking for someone who understands the urgency of commercial
vehicle breakdowns and knows how to lead a dispatch team in a fast-moving, 24/7 environment.
THE POSITION
The Breakdown Dispatch Manager will take primary responsibility for the day-to-day performance of our breakdown
dispatch department.
This individual will oversee dispatchers, manage escalated breakdown situations, coordinate technicians and resources,
maintain communication with customers, and ensure calls are handled professionally from initial contact through
completion.
The position will be personally trained by All Fleet leadership on our operating procedures, expectations, customer
service standards, systems, and management philosophy.
Once trained, this individual will be expected to take ownership of the dispatch operation while continuing to work
closely with senior management.
Because All Fleet operates 24 hours a day, 7 days a week, this position requires someone who understands that
management responsibility does not always end when a scheduled shift ends. The Dispatch Manager must be capable
of handling or directing escalated situations when necessary.
PRIMARY RESPONSIBILITIES
- Leading and supervising the breakdown dispatch team - Managing daily 24/7 dispatch operations - Training,
coaching, scheduling, and developing dispatch personnel - Ensuring incoming breakdown calls are answered and
handled promptly - Evaluating breakdown situations and determining the appropriate response - Coordinating mobile
technicians based on location, availability, skill level, and urgency - Monitoring open service calls from initial dispatch
through completion - Managing high-priority and escalated customer situations - Making sound decisions during
emergency and crisis situations - Ensuring customers receive accurate and timely status updates - Maintaining
accountability for dispatcher performance and communication - Identifying calls or situations that require escalation to
senior management - Helping establish procedures that allow the department to operate consistently across all shifts -
Monitoring response times, open calls, technician availability, and service performance - Working with operations and
management to resolve recurring service issues - Maintaining professional communication between dispatch,
technicians, customers, and management - Helping recruit, train, and develop additional dispatch personnel as
operations expand - Building a dispatch operation capable of supporting All Fleet's continued growth
WHO WE ARE LOOKING FOR
The ideal candidate has real-world breakdown dispatch management experience.
We are especially interested in individuals who have worked in environments involving:
- Commercial truck and trailer breakdowns - Roadside assistance - Fleet maintenance - Heavy-duty trucking -
Emergency service dispatch - Transportation or logistics operations - 24/7 call-center or dispatch operations
Candidates should understand that breakdown dispatch is different from standard freight dispatch. When a commercial
vehicle is down, decisions need to be made quickly and accurately.
REQUIRED LEADERSHIP QUALITIES
- Remains calm and decisive under pressure - Has strong crisis-management skills - Can manage several urgent
situations simultaneously - Holds employees accountable while maintaining a professional work environment -
Communicates clearly with customers, technicians, dispatchers, and management - Can prioritize calls based on
urgency and operational impact - Is comfortable making management decisions - Knows when to resolve an issue
independently and when to elevate it - Is dependable and understands the responsibility involved in a 24/7 operation -
Can help build structure, procedures, and accountability as the department grows
EXPERIENCE
Breakdown dispatch experience is strongly preferred, and management or supervisory experience within breakdown,
roadside, fleet, transportation, or a similar operation is highly desirable.
Candidates with substantial hands-on breakdown dispatch experience who are ready to move into a larger leadership
position are also encouraged to apply.
SCHEDULE & AVAILABILITY
This is an on-site Chicago-area management position supporting a 24/7 operation.
The Dispatch Manager will have a primary work schedule; however, the individual must have reasonable flexibility to
respond to elevated operational situations outside normal working hours when management involvement is necessary.
We are looking for a manager who can build a strong operation - not someone who believes every problem
automatically becomes someone else's responsibility at the end of a shift.
COMPENSATION & BENEFITS
All Fleet is flexible in structuring compensation for the right individual.
Compensation will be based on the candidate's breakdown dispatch experience, management background,
demonstrated capabilities, and overall fit for the position.
The position includes a competitive compensation package and comprehensive benefits, including health, dental,
vision, and additional company benefits available under the applicable plan.
We are willing to discuss both starting salary and overall compensation structure with highly qualified candidates.
GROWTH OPPORTUNITY
This position is being created as part of the continued expansion of All Fleet's operations.
We are looking for someone who wants more than another dispatch job. We want an individual who can become an
important part of the company's management structure and help us build a larger, stronger, and more efficient
breakdown operation.
For the right person, there is significant opportunity to grow as All Fleet continues expanding.
APPLY
Qualified candidates should submit a resume highlighting their experience with breakdown dispatch, roadside
assistance, fleet operations, crisis management, and team leadership.
When applying, please include your current or most recent position, years of breakdown dispatch experience,
management experience, and compensation expectations.
All Fleet, Inc. Anytime. Anywhere. All the Time.
