This position is responsible for coordinating the daily schedule, communicating with customers and field crews, and ensuring jobs are fully prepared before crews arrive on site. You will support the Operations Manager by executing the day-to-day schedule and coordinating the many moving parts required to keep projects running smoothly.

  • Maintain Buildertrend schedules and job documentation.
  • Complete vendor packets, prequalification documents, Certificates of Insurance (COIs), project setup, and other project administrative tasks.

  • Ensure materials are delivered and rental equipment as directed.
  • Assist with project closeout, and general office support.
  • Provide backup support for incoming phone calls and customer inquiries as needed.
  • Assist ownership and the Operations Manager with special projects and other operational needs.
  • Continuously look for ways to improve office and operational processes.
Authority
May:

  • Schedule and reschedule permit-ready work.
  • Dispatch service calls.

  • Gather missing project information.
  • Coordinate schedules with field crews.
  • Maintain Buildertrend schedules and job information.
Must obtain approval before:

  • Changing company priorities.
  • Breaking customer commitments.
  • Pulling crews from major projects.
  • Reassigning manpower between major projects.
  • Approving overtime.
  • Making major scheduling decisions that significantly impact production.
Qualifications
  • Experience in construction, dispatch, scheduling, service coordination, or office administration preferred.
  • Excellent organizational and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficient with Microsoft Office.
  • Buildertrend experience is a plus but not required.
What Success Looks Like
