Job description

Job Title

We are seeking a highly organized, motivated, hands-on individual to support our dispatch, transportation, warehouse, shipping, and receiving operations. This position is approximately 50% dispatch/administrative coordination and 50% warehouse/dock coordination.

Job Duties

Dispatch & Logistics Responsibilities โ€“ Approximately 50%

  • Assist the dispatcher with daily schedules, driver run sheets, customer paperwork, phone calls, and general dispatch support.
  • Communicate with approximately 12 CDL truck drivers throughout the day regarding pickups, deliveries, trailer numbers, delays, schedule changes, and customer requirements.
  • Prepare driver paperwork before runs and keep the dispatch board accurate and updated throughout the day.
  • Track drivers and equipment using GPS and communicate changes or delays as needed.
  • Collect, organize, check, and account for all completed driver paperwork.
  • Verify that each driver turned in the required paperwork for every completed run and immediately follow up on missing information.
  • Help keep drivers on task and make sure problems and delays are communicated rather than ignored.
  • Support the main dispatcher so they can focus on customer emails, scheduling, planning, and future loads.

Warehouse / Shipping & Receiving Responsibilities โ€“ Approximately 50%

  • Regularly walk the warehouse and dock areas to stay aware of current shipping and receiving activity.
  • Communicate priorities to forklift drivers and identify which trailers need to be loaded or unloaded next.
  • Collect load and unload paperwork from forklift drivers and verify trailer numbers and customer information.
  • Make sure completed loads and unloads are communicated back to Dispatch.
  • Help coordinate dock doors, trailer movement, incoming loads, outgoing loads, and warehouse priorities.
  • Identify trailers or loads that have been sitting too long and determine what is causing the delay.
  • Keep Dispatch, drivers, forklift operators, and warehouse employees working from the same information.
  • Identify missing paperwork or communication problems immediately and help resolve them.

Truck, Trailer & Maintenance Coordination

  • Report truck and trailer repair needs and contact repair vendors as needed.
  • Help schedule repairs and follow up until equipment is returned to service.
  • Assist with tracking preventive maintenance for trucks and trailers.
  • Communicate equipment problems before they interfere with the next day's schedule.
  • Help make sure the correct trucks and trailers are available for upcoming runs.

End-of-Day / Next-Day Preparation

  • Contact drivers before the end of the day with their next-day assignment, start time, truck/trailer information, and special instructions.
  • Prepare the next day's driver paperwork in advance.
  • Make sure early-start drivers can arrive and leave without waiting for office personnel.
  • Our goal is for a driver scheduled to leave at 6:00 AM to already know the assignment, have the required paperwork, and begin the route independently.
Skills and Qualifications

โ€ข Comfortable working with CDL drivers, forklift operators, warehouse employees, customers, and vendors.

โ€ข Willing to work both at a desk and actively on the warehouse floor and docks.

โ€ข Able to handle multiple priorities and make reasonable decisions without constant direction.

โ€ข Comfortable making phone calls, using email, GPS systems, and basic office programs.

โ€ข Able to professionally hold people accountable and follow up until tasks are completed
