ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answer incoming calls and greet visitors.
  • Review and route incoming emails, faxes and voicemails.
  • Collect mail from the post office PO Box twice a week.
  • Review, scan and route incoming mail and agency documents.
  • Prepare outgoing mail, UPS and FedEx packages.
  • Send faxes via e-fax for Account Managers when requested.
  • Maintain the postage machine which includes refilling postage.
  • Maintain shared office equipment.
  • Order office supplies as needed.
  • Maintain kitchen area by replenishing coffees and teas in organizers, starting and unloading the dishwasher and ordering snacks and beverages.
  • Assist Account Managers and Partners with special projects.
  • Dump discarded paper in shred bins for yourself, the copy room and Greg.
  • Directly send review questionnaire form to prospects and potential new business.
  • Forward completed questionnaire form to Personal Lines Customer Service Representative (PL CSR) to begin quoting process.
  • Assist customers in retrieving, printing, and presenting Auto ID Cards.
  • Deposit client checks when received daily, and commission checks during deposit period.
  • Obtain and send deposit reports to staff daily.
  • Request Loss Runs through Loss Run Pro App.
  • Retrieve carrier documents daily for commercial lines Account Managers and send the carrier documents to the respective CL Account Manager.
  • Process Notice of Cancellations in Applied EPIC, email notice to customer, and copy respective account manager.
  • Process Audits in Applied EPIC, email audit to customer, and copy the respective account manager.
  • Remain accountable for maintaining proper and secure storage of checks and clients' private information. Computer should be shut down when gone for a length of time. Checks should not be visible throughout the day and securely locked before leaving for the day.

REQUIREMENTS:

  • High School diploma or equivalent, plus one (1) or more years of secretarial, clerical, or administrative work experience in a professional office setting is required.
  • Proficiency using Microsoft Outlook, Word, and Excel.
  • Ability to prioritize time sensitive assignments in a fast paced work environment.
  • Excellent verbal and written communication skills.
  • Punctuality with ability to consistently work in-office during regular business hours, Monday through Friday.
  • Highly organized multi-tasker with critical attention to details.
  • Willingness to take direction and adapt to dynamic processes and protocols with a cooperative attitude.
  • Self-motivated and resourceful problem-solver who is able to work independently and as part of a team.
