Job description

Front Desk/Data Entry Specialist

The Front Desk/Data Entry Specialist provides essential administrative and reception support for the 66 FSS/FSH Military & Family Readiness Center (M&FRC). Primary duties include acting as the first point of contact for visitors, managing telephone communications, and maintaining accuracy within critical Air Force database systems. This role requires seamless operation of the M&FRC front desk.

$20.90/hr. Comprehensive federal benefits package available to full-time employees, including health insurance, paid time off, and retirement plan participation.

Essential Functions And Responsibilities
  • Reception Services: Receive telephone calls, greet visitors, and direct clients to the appropriate program manager or staff member.
  • Customer Support: Provide clear information regarding routine or procedural issues and look for opportunities to raise awareness of M&FRC programs.
  • Scheduling: Manage class and workshop schedules for the M&FRC, including the Transition Assistance Program (TAP).
  • Data Entry: Input and maintain required data in the Air Force Family Integrated Result Statistical Tracking (AFFIRST) and DOD TAP systems with at least 85% accuracy within two business days.
  • Communications: Send reminder emails to workshop attendees one week prior to class start dates or as suggested by program managers.
  • Reporting: Ensure all clients sign in and generate a monthly client usage report for M&FRC management.
  • Facility Maintenance: Maintain the front desk appearance daily by aligning materials, reporting inoperable equipment, and performing light housekeeping such as dusting, vacuuming, and trash removal.
Skills And Qualifications
  • Technical Proficiency: Strong working knowledge of data entry devices and web-based applications like Microsoft Edge and Chrome.
  • Software Skills: Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Windows.
  • Communication: Strong interpersonal skills to effectively work with a diverse population and a basic understanding of military protocol.
  • Professionalism: Ability to dress in appropriate business casual attire and rely on judgment to accomplish goals in a timely manner.
Education & Experience
  • Minimum Experience: At least 12 months of prior customer service experience in a business or customer support environment is required.
Work Environment
  • Services are performed at the M&FRC on Hanscom AFB, MA.
  • This is an in-person position, though situational telework may be authorized in the event of national health directives or base regulations.
  • In telework scenarios, the government provides a computer, but the contractor must provide their own telephone.
Physical Demands
  • The role includes minimal vacuuming, dusting of furniture, taking out personal trash, and the daily alignment of chairs and resources to maintain Air Force standards.
Role And Location Specific Functions
  • The position is located at Hanscom AFB, MA 01731.
  • Personnel will attend mandatory training as deemed essential by Air Force Directives or the M&FRC Chief.
  • Personnel must also pass an Information Assurance exam to gain network access.
Position Type/Expected Hours Of Work
  • This is a full-time position requiring 40 hours per week.
  • Standard hours are Monday through Friday, 0800-1600, with a potential start time as early as 0730.
  • Work is not required on Federal Holidays.
Clearance/License Requirements
  • Identification: Must be eligible for a Common Access Card (CAC).
  • Vetting: Requires a favorable background check and fingerprinting.
  • Compliance: Must complete required network access documentation within 24 hours of receipt.
