Job description

Primary Purpose:

Work under close supervision and follow established procedures to maintain accounting records and process accounts payables according to standard accounting procedures. Perform weekly check run, prepare invoices for accurate and timely payment.

Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Knowledge of basic accounting procedures

Ability to use personal computer and Microsoft office and Google for spreadsheets, databases, word processing and email.

Proficient in keyboarding, 10-key numerical data entry, scanning and file maintenance

Ability to communicate effectively

Experience:

One year of accounting-related experience at clerical level

Major Responsibilities and Duties:

Accounting

  1. Receive and process for timely payment all accounts payable invoice and check.  Verify invoices and purchase orders to ensure completeness and accuracy prior to payment.
  2. Daily review of accounting email and open and deliver invoices to campuses and departments for payment approval.
  3. Verify vendor remittance address for mailing out check. Enter and update payment information to Skyward Business system for weekly check run.
  4. Review of monthly statements and perform follow-ups of all purchase orders outstanding over 60 days.
  5. Detect and resolve problems with incorrect orders, invoices, and shipments as needed.
  6. Maintain files of all paid invoices by vendor with appropriate supporting documentation and scan final documents weekly.

Data Entry

  1. Input data into accounting system.

Records and Reports

  1. Prepare correspondence, forms, manuals, reports, and payment authorizations following district standards and requirements.
  2. File and scan all accounts payable records weekly, and other documents as required.
  3. Maintain vendor files.

Other

  1. Receive incoming calls, answer questions, and direct calls to the proper party.
  2. Receptionist relief for breaks.  
  3. Follow district safety protocols and emergency procedures.

None.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress

*Minimum Salary $17.20 hourly
*Salary is commensurate with experience
*Works 226 Day Calendar
* Please note that this role requires in-person attendance and is not eligible for remote work.
