Job Description

Key Responsibilities:

Executive Support & Strategic Partnership
  • Serve as a strategic advisor and operational partner to the COO
  • Act as a sounding board for leadership – offering insights, flagging risks, and providing thoughtful feedback
  • Conduct research and provide briefing materials, presentations and internal documents to support key operational initiatives and meetings
  • Provide operations support in the areas affecting staffing, agency process, media and office
  • Facilitate scheduling and meeting prep, ensuring high-priority initiatives move forward efficiently
Operations & Change Management
  • Drive operational efficiency initiatives and lead change management across teams
  • Identify bottlenecks and implement streamlined workflows, processes, and tools to improve cross-functional collaboration
  • Research and recommend technology solutions to enhance productivity and project delivery
Agency Marketing & Branding
  • Contribute to internal efforts that elevate and maintain the agency’s brand presence
  • Drive updates to marketing materials, case studies, capabilities decks, and business development assets
Vendor & Partner Management
  • Manage select external partners and vendors – leading contract negotiations, scope-of-work development, and ongoing relationship oversight
Qualifications
  • 5–10 years of experience in operations, project management, or marketing, ideally within an advertising agency
  • Excellent interpersonal, communication, and organizational skills
  • Strong understanding of agency workflows (creative, production, accounts, strategy, media)
  • Experience in executive support and acting as a strategic advisor
  • Comfortable navigating challenges proactively due to time-constraints, shifting priorities, and working in a fast‑paced environment
Compensation

Compensation Range: $85 – $150 per hour, based on experience. Offers are typically made within the lower to mid-range to allow room for growth and development within the role.
