The Role

Support student enrollment, program administration, and operational logistics while delivering exceptional service that contributes to student success.

Point of contact prospective and current students, ensuring a seamless experience from enrollment through completion.

The Operations Support Coordinator is a front-line operations and student support position-based in Branchburg, NJ. This role maintains daily administration movement, answering student and employer questions, processing enrollments and paperwork, coordinating schedules, and accurately updating our systems (CRM/LMS and related tools).

This role keeps daily administration moving—answering student and employer questions, processing enrollments and paperwork, coordinating schedules. A key requirement is reliable coverage for late-day student services tied to evening classes and proctoring.

Job StructureStudent & Customer Support

Answer incoming calls, texts, and emails; resolve routine questions on programs, scheduling, course access, and next steps.

Support a largely Spanish-speaking customer base; bilingual English/Spanish is strongly preferred.

Problem solves and handle escalations to the right team member with clear documentation.

Enrollment, Records, and Compliance Administration

Process registrations, applications, and required documentation with accuracy and complete audit trails.

Maintain clean student records, attendance, course status, and outcomes in our systems.

Handle billing support: invoices, purchase orders, receipts, and payment follow-ups as needed.

Scheduling & Proctoring Support

Coordinate student scheduling for exams, make-ups, and proctoring sessions (often starting 5–6pm and lasting ~1 hour).

Support evening class operations (6–7pm coverage) based on the selected schedule option.

Process student certifications and related program tasks.

Systems, Process, and Team Coordination

Learn and navigate new software tools quickly (CRM, LMS, VOIP/chat/email workflows, and internal trackers).

Spot recurring issues (missed steps, frequent questions, bottlenecks) and suggest practical fixes.

Work closely with instructors and operations leadership to keep programs running smoothly.

Schedule Requirements (Two Options)

This is a full-time (40 hours/week), Monday–Friday role with schedule flexibility between two approved options that both meet school coverage needs:

Option 1: Split Schedule

3 days: 11:00am–7:00pm

2 days: 8:00am–4:00pm

Option 2: Late-Week Coverage Schedule

Monday–Thursday: 10:00am–7:00pm (9-hour days)

Friday: 10:00am–2:00pm or 9:00am–1:00pm

Applicants should be comfortable consistently supporting late-day student activity, including evening class coverage ending at 7:00pm.

Skills & Experience

Requirements
  • Excellent computer skills with the ability to efficiently navigate student information systems, CRM platforms, enrollment database and LMS related tools.
  • Highly proficient in data entry, record management, and system navigation
  • Strong technical aptitude with the ability to efficiently navigate multiple applications
  • 2+ year experience in an administrative, operations, customer service, or
  • coordinator role (education, training, healthcare, or another high-volume environment is helpful).

  • Strong accuracy with data entry and documentation (you catch missing fields, mismatched names, incomplete forms).
  • Comfortable working across multiple systems (CRM/LMS, spreadsheets, email, scheduling tools); able to learn new applications with minimal ramp time.
  • Professional communication skills—clear, direct, and respectful in writing and on the phone.
  • Reliable inperson attendance and punctuality for the selected schedule.
  • A key requirement is reliable coverage for lateday student services tied to evening classes and proctoring.
