About the Role 

The Cromeens Law Firm, PLLC is a boutique construction law firm representing contractors, subcontractors, and suppliers across Texas, California, Louisiana, and Kansas. We are looking for a sharp, detail-driven Director of Legal Operations to build and run the systems that keep the firm's casework moving efficiently as we scale. This role is the backbone behind the attorneys: owning case management systems, workflow, deadlines, and staffing coordination so that every matter, in every state, moves forward without anything slipping through the cracks. The Director of Legal Operations works alongside the COO, Director of Finance, Director of Human Resources, and Director of Operations to keep the firm running like a well-oiled machine. 

Key Responsibilities 

Legal Operations and Case Management 

  • Own and continuously improve the firm's case management systems and workflows, including Clio, to ensure accuracy and consistency firm wide. 
  • Build and enforce processes that ensure statutory deadlines, including M&M lien filing deadlines, which vary by state, are properly calendared and complied with. 
  • Monitor case status across the firm to identify bottlenecks, gaps, or matters at risk of falling behind, and drive corrective action. 
  • Standardize intake-to-close workflows across practice areas and offices, so cases move consistently regardless of which attorney or team handles them. 
  • Partner with attorneys and paralegals to identify process breakdowns and implement fixes. 

Systems, Technology, and Reporting 

  • Serve as the firm's subject matter expert on Clio and other legal operations tools and technology. 
  • Evaluate, recommend, and implement new legal technology and systems that improve efficiency and scalability. 
  • Build and maintain operational reporting and dashboards that give firm leadership visibility into caseloads, deadlines, and team capacity. 
  • Train attorneys and staff on systems, tools, and workflow standards, and ensure ongoing compliance with them. 

Staffing and Resource Coordination 

  • Partner with the COO and Director of Human Resources to plan and coordinate staffing across attorneys, paralegals, legal clerks, and legal assistants based on caseload and capacity. 
  • Monitor workload distribution across the firm and flag capacity issues before they become client-facing problems. 
  • Support onboarding of new legal staff on the firm's systems, processes, and operational standards. 

Compliance and Risk Management 

  • Ensure firm-wide compliance with statutory deadlines, court rules, and internal policies across all states the firm practices in. 
  • Maintain documentation and audit processes to reduce risk of missed deadlines or procedural errors. 
  • Oversee confidentiality, records management, and internal process compliance. 
  • Flag operational or compliance risks to firm leadership and recommend solutions. 

Cross-Functional Partnership 

  • Work closely alongside the COO on firm-wide operational strategy and execution. 
  • Partner with the Director of Finance to ensure case operations data supports accurate billing, budgeting, and financial reporting. 
  • Partner with the Director of Human Resources on staffing plans, onboarding, and training tied to legal operations needs. 
  • Work closely alongside the Director of Operations to align legal operations processes with broader firm-wide operational standards. 
  • Report regularly to firm leadership on operational performance, risks, and opportunities for improvement. 

Qualifications 

  • Bachelor's degree required; paralegal certification, JD, or related advanced degree a plus. 
  • Proven experience in legal operations, practice management, or paralegal/case management leadership, ideally within a law firm. 
  • Strong working knowledge of legal case management systems (Clio experience strongly preferred). 
  • Excellent organizational skills and obsessive attention to detail, especially around deadlines and compliance. 
  • Strong analytical skills, with the ability to build reporting and identify trends from operational data. 
  • Demonstrated ability to build and improve processes, not just follow them. 
  • Strong communication skills, with the ability to train and hold attorneys and staff accountable to standards. 
  • Experience managing or coordinating staffing and workload across teams. 
  • Familiarity with construction law, M&M lien law, or multi-state legal practice a significant plus. 
  • Comfortable operating in a fast-paced environment with competing priorities and firm deadlines. 
  • Proficient with Microsoft Office Suite or related software.

  • Consistent, standardized case workflows that scale smoothly as the firm grows. 
  • Clear, reliable operational reporting that firm leadership can act on. 
  • Attorneys and staff who are well-trained, well-supported, and operating efficiently within firm systems. 
  • Strong partnership and alignment with the COO, Director of Finance, Director of Human Resources, and Director of Operations. 

Schedule 

  • Monday through Friday, 8:00 a.m. – 5:00 p.m. 
  • Two days' work from home per week, available after the introductory period ends.
