Position Summary

The primary responsibility of this position is to support the daily operations of the dealership as well as close service repair orders, collect payments, and ensure customer service satisfaction.

Core Responsibilities

Responsibilities described in this section are fundamental to success in this position.

  • Answer and route incoming phone calls from a multi-line telephone and assist Sales team, Service Advisors, and Fixed Operations Director in taking customer appointments and messages
  • Greet customers and direct them to the proper department in a timely manner
  • Represent the Dealership in a friendly, professional manner
  • Close all completed repair orders and notify the Service Advisor or customer of the total charges
  • Check the accuracy of repair orders making sure the correct amount of labor has been charged and corresponding parts have been entered on the repair order
  • Prepare the proper billing information for charge and extended warranty repair orders including necessary copies and purchase orders
  • Maintain filing system of repair orders including necessary copies and purchase orders, as well as perform a variety of other clerical duties
  • Reconcile daily the total of funds collected to the balance in the cash drawer, documenting any discrepancies
  • Ensure that each customer has been promptly assisted and notify management of any customer that might be dissatisfied with their bill or service work performed
  • Assist parts department as-needed
  • Assist with projects on an as-needed basis
  • Uses personal device to provide an additional layer of security for company network and site access through multi-factor authentication.
  • Enforce safety precautions specific to work area
  • Other responsibilities as assigned
