Job description

Neuropsychology Clinic Support

Under general direction, assist patients with billing, scheduling, and registration inquiries and provide customer service using general knowledge of organization policies and procedures. Provide support for scheduling, registration, and clinic operations within the Neuropsychology Clinic.

Primary Responsibilities
  • Proficiency in scheduling, registration, and patient account functions within the clinic. Act as a resource for scheduling questions and workflow support.
  • Independently exercise judgment to resolve patient scheduling and customer service concerns. Transfer concerns to appropriate personnel when required.
  • In person or via telephone, schedule patient appointments, update patient accounts, collect patient demographic and insurance information, and answer routine questions regarding medical billing and clinic procedures.
  • Manage provider schedules, including appointment coordination, cancellations, wait lists, and schedule changes to support clinic operations.
  • Maintain working knowledge of MCW and affiliate computerized scheduling and billing systems (i.e., Epic). Utilize appropriate online systems to verify insurance and authorization requirements.
  • Answer and direct phone calls appropriately while providing excellent customer service.
  • Assist with clinic preparation tasks, including reminder calls, patient instructions, and ensuring required documentation is received prior to appointments.
  • Perform related clerical functions such as maintaining patient accounts, data entry, filing, and distributing reports as needed.
  • Maintain knowledge of MCW clinic locations and affiliate facilities, including directions to and within associated buildings.
  • Assist with quality control measures and training of new employees as needed.
  • Other duties as assigned.
Knowledge – Skills – Abilities
  • Knowledge of customer service standards, scheduling processes, information management, and recordkeeping.
  • Computer, technical, interpersonal, oral communication, listening, and organizational skills.
  • Ability to multitask, prioritize work, and adapt in a fast-paced clinical environment.
  • Working knowledge of insurance coverage, benefits verification, and prior authorization requirements preferred.
Qualifications

Appropriate experience may be substituted for education on an equivalent basis.

Minimum Required Education: High school diploma

Minimum Required Experience: 2 years

Preferred Experience: 3 years of related experience, scheduling experience including use of Epic, strong computer skills, including Microsoft Office applications, experience operating multi-line phone systems.

Physical Requirements

Work requires occasionally lifting moderate weight materials, standing, or walking continuously.

Work Environment

Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.

Sensory Acuity

Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
