Position Summary
Responsible for overall organization and presentation of Registrar's Office. Ensures that Registrar's Office meets needs of students, guests, parents, and faculty when they call or appear in person to Registrar's Office. Provides effective communication, confidentiality, and multitasking; is detail-oriented and a team player.
Role Qualifications:
  • Strong ability to create good will with staff, faculty, and students; servant attitude.
  • Willingness to be a Christian ambassador to public; willingness to place needs of students and guests at highest priority; patience with students and public.
  • Understanding of importance of maintaining confidentiality of student records.
  • Commitment to the Articles of Faith, Mission, and Objectives of the University; and desire to be a role model for students by demonstrating an active Christian faith in personal example and in work related responsibilities.
Position Responsibilities:
  • Meets regularly with Registrar and Associate Registrar to set priorities and determine activities.
  • Works independently with regard to managing Registrar's Office and makes decisions regarding operation of Registrar's Office without direct supervision.
  • Answers questions at the office window and directs people to appropriate office/department as needed.
  • Answers phone and directs phone calls as needed.
  • Supervises all work-study students; assigns daily duties, supervises quality of work; monitors time cards; screens new applicants for work-study positions that become available.
  • Processes transcript requests; orders transcript paper as needed.
  • Assists with January, Early Registration, and August registrations.
  • Performs requests for student verification of full-time enrollment and degree verifications.
  • Verifies student grade point averages for Student Housing, scholarships, etc.
  • Maintains and updates campus calendars for all scheduled classes and finals.
  • Oversees scanning and maintaining all student files and alumni records.
  • Maintains and updates Registrar's Office pages on Eaglenet and coordinates with UMC for website updates.
  • Maintains and orders office supplies as needed.
  • Assists with Spring and Fall commencement as needed. This includes ordering graduation supplies such as student honors medals, diploma covers, diploma paper, diploma inserts, diploma mailers, etc.
  • Opens and closes the Registrar's Office daily and coordinates coverage of the window during lunch.
  • Other duties as assigned.
Essential Skills and Experience:
  • One or more years of experience as receptionist or similarly related office environment.
  • Comfortable in the use of computers (Microsoft suite) and learning new software.
  • Pleasant phone voice; positive personal contact skills with the public.
  • Ability to organize, prioritize, and supervise self and others.
Education:
High school graduate. Some college preferred.

Physical Demands and Work Environment
Physical demands: While performing the duties of this job, the employee is occasionally required to walk; stand; sit; use hands; reach with hands and arms; balance; stoop; talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work environment: The noise level in the work environment is minimal.
