Job DescriptionThe Fiscal Operations Lead serves as a resource within the External Relations Division, focusing on enhancing operational efficiency and strategic impact. The Fiscal Operations Lead plays a key role in improving procurement management, travel coordination, contract processing, and budget management. The Fiscal Operations Lead position combines operational oversight with data analytics to provide actionable insights for strategic decisions. Responsibilities include managing internal systems and technology, ensuring policy compliance, and driving process improvements for fiscal operations. The Fiscal Operations Lead is vital for maintaining policy compliance within the division.Essential FunctionsCore Values

Fiscal Operational Support

Serve as a subject-matter expert in managing procurement, travel coordination, contract processing, budget management, and other fiscal operations within the External Relations Division. Lead high-value or specialized procurement efforts requiring additional expertise. Ensure the efficient execution of these functions, maintaining compliance with organizational policies and providing support for strategic initiatives.

Process Improvement

Lead efforts to streamline and enhance workflows in fiscal operations within External Relations. Identify areas for improvement, implement best practices, and work with stakeholders to refine processes and increase operational efficiency.

Financial Data Analytics & Reporting

Oversee the acquisition, analysis, and presentation of divisional financial data to support decision-making. Maintain comprehensive dashboards and reports to ensure accuracy and accessibility. Regularly conduct audits and implement quality assurance measures to uphold data integrity.

Financial Management

Monitor expenditure patterns, assist with budget planning, and identify cost-saving opportunities within External Relations. Collaborate with the Financial Services team to produce financial reports, provide financial guidance, and ensure alignment with organizational budgetary requirements.

Decision Support

Deliver actionable insights and recommendations derived from data analysis to inform strategic and operational decisions. Assist in developing and implementing action plans, and evaluate the effectiveness of decisions to achieve divisional goals.

Policy Compliance & Internal Communication

Ensure adherence to organizational policies in all aspects of procurement, travel, contracts, and budget management. Draft and communicate updates regarding procedural changes, new initiatives, and policy adherence. Provide training and support on compliance and best practices to divisional team members.

Customer Service & Training

Support divisional team members with inquiries related to procurement, travel, budget management, and other financial services. Provide hands-on assistance to ensure proficiency in internal systems and adherence to operational procedures.

Education & ExperienceRequired Qualifications

Associate's degree or some college required.

Two years of required experience in contract management, procurement, or related field.

Two years of required experience in budget management and financial analysis.

One year of required experience in data analysis, reporting, or related field.

Preferred Qualifications

Bachelor's degree preferred.

Three years of preferred experience in contract management, procurement, or related field.

Three years of preferred experience in budget management and financial analysis.

Two years of preferred experience in data analysis, reporting, or related field.

Relevant experience may be considered in lieu of a degree, except in cases where a specific degree is required to meet accreditation standards, licensure requirements, or other legislative or regulatory obligations. This includes, but is not limited to, certain faculty positions and staff roles governed by state or federal educational mandates.
