What is a direct client virtual assistant?

Direct Client Virtual Assistants are professionals who provide administrative, technical, or creative support to clients remotely, usually working directly for the client rather than through an agency. Their tasks may include scheduling, email management, research, data entry, and more, depending on the client’s needs. Working directly with clients allows Virtual Assistants to build stronger relationships and tailor their services to specific requirements. This role often requires excellent communication, organizational skills, and proficiency with digital tools.

What are the key skills and qualifications needed to thrive as a direct client virtual assistant?

To thrive as a Direct Client Virtual Assistant, you need strong organizational abilities, excellent written and verbal communication, and proficiency in administrative tasks, often supported by experience or a relevant certification. Familiarity with tools like Google Workspace, Microsoft Office, project management platforms (e.g., Asana, Trello), and communication systems such as Slack or Zoom is typically required. Outstanding time management, problem-solving, and interpersonal skills help you stand out in supporting clients remotely. These skills ensure tasks are completed efficiently, client needs are met proactively, and professional relationships are maintained, which is vital for client satisfaction and long-term success.

How does a direct client virtual assistant typically manage communication and collaboration with clients who work in different time zones?

As a Direct Client Virtual Assistant, managing communication across time zones is a common challenge. Most VAs use shared digital tools like project management platforms, cloud-based calendars, and messaging apps to stay organized and responsive. It's standard practice to establish overlapping 'core hours' for real-time communication and clarify expectations regarding response times. Regular check-ins and clear documentation help ensure tasks are completed smoothly, regardless of time differences. This approach fosters trust and reliable collaboration, even when working remotely for clients around the world.

Job description

Role and Responsibilities

Our Senior Lease & Title Analysts (Senior LTAs) are responsible for reviewing, analyzing, and maintaining lease and title documentation to support accurate ownership records and lease obligations across our oil and gas operations. Senior LTAs work closely with the Land Administration team, internal departments, and clients to ensure data accuracy, compliance, and timely action on lease obligations.

They provide support by interpreting legal documentation such as leases, mineral deeds, assignments, title opinions, and ownership reports. Senior LTAs are expected to work independently with minimal guidance, handle more complex lease and title matters, and serve as a resource to other Lease & Title Analysts and Technicians. This position plays a critical role in managing client-owned assets and maintaining accurate records within PetroLedger's land systems.

JOB DUTIES

Lease & Title Review

  • Read, analyze, interpret, and summarize complex oil and gas leases, deeds, assignments, title opinions, and JOAs.
  • Determine and maintain mineral, royalty, working interest, NRI, and leasehold ownership records.
  • Identify title defects and coordinate curative efforts with attorneys, landmen, and stakeholders.
  • Serve as an escalation resource for complex ownership and title issues.

Land System Management & Lease Records Conversions

  • Setup and maintain lease and title data in PetroLedger’s land system; maintain accurate ownership records, acreage and tracking systems.
  • Maintain physical and digital lease files; deactivate and archive expired or released leases and contract files.
  • Support lease records conversion projects, including scoping, data migration, validation, and quality control when transitioning client data onto new land management systems.
  • Generate acreage, expiration, and obligation calendars or reports from PetroLedger’s land management system for internal and/or client use.

Ownership, Compliance & Reporting

  • Monitor expiration calendars, delay rentals, minimum royalties, and shut-in royalty payments; ensure timely compliance with all lease obligations.
  • Maintain and update leasehold ownership data as determined by title opinions and other ownership reports.
  • Prepare acreage inventory for developed and undeveloped leases as needed.
  • Assist with due diligence efforts as may be required from time to time as related to asset sales or acquisitions.

Client & Team Support

  • Maintain direct client relationships with minimal oversight; communicate effectively with clients, brokers, title attorneys and state and federal agencies on lease and title matters.
  • Collaborate with client and internal PetroLedger teams to resolve ownership or lease-related issues; respond to inquiries with professionalism and high attention to detail.
  • Provide guidance, mentorship, and technical review support to Lease & Title Analysts and Technicians.
  • Serve as subject matter resource on complex title and lease matters.

Process Improvement & General Support

  • Identify and lead opportunities for data cleanup and process improvements within client records and Lease Records procedures.
  • Participate in process improvement initiatives related to lease records, land systems, and Lease Records and Land Administration procedures.
  • Ensure compliance with PetroLedger policies and regulatory requirements.
  • Perform additional tasks or responsibilities as may be assigned by management team.

SKILLS

  • Strong understanding of oil & gas leases, contractual obligations, and state-specific regulatory considerations.
  • Familiarity with mineral and working interest ownership structures; strong understanding of legal land descriptions, royalty provisions and title concepts.
  • Demonstrated ability to exercise independent judgment on complex or ambiguous title matters.
  • Excellent analytical and organizational skills with high attention to detail.
  • Ability to manage multiple clients, assignments and competing deadlines simultaneously.
  • Experience supporting or leading lease records conversion or data migration projects preferred.
  • Strong verbal and written communication skills; customer service orientation and professionalism in all interactions.
  • Proficiency in Microsoft Office (especially Excel) and land/accounting software platforms; Quorum or PakEnergy preferred.
  • Comfortable handling confidential ownership and financial data
  • Adaptable to in-office and remote work environments.

QUALIFICATIONS AND EDUCATION

  • Bachelor's degree or equivalent combination of education and experience preferred.
  • 5-8 years of land administration, lease records, or title analysis experience in oil and gas industry.
  • Experience with land systems and lease management tools is highly preferred.

Additional Notes

This job description outlines the core responsibilities of the role but is not exhaustive. Additional goals may be assigned in alignment with PetroLedger’s values and evolving needs.

The Senior Lease & Title Analyst designation reflects a higher level of experience, independent judgment, client responsibility, and technical expertise in lease records and title analysis. Senior LTAs are expected to handle more complex lease and title matters, work independently with minimal guidance, maintain direct client relationships, provide guidance to other team members, and serve as a key resource to the Lease Records Manager.
