Senior Administrative Assistant

SHIFT
1st Shift, Monday-Friday, 8:00am-4:30pm. Occasional overtime may be necessary.

ROLE AND RESPONSIBILITIES:

Senior Administrative Assistant supports the executive team and reports to the Director of Operations.

  1. Support the CASS program in coordination with the Chief Pilot for pilots.
  2. Compiles landing report data and submits for monthly reporting requirements.
  3. Submits reports and data to insurance providers as needed for aircraft, property, etc. Helps to compile information as needed for claims and renewals.
  4. Reviews and confirmed accuracy of timecards for payroll for various departments; weekly/bi-weekly.
  5. Maintain Pilot Records, including uploading records to the PRD (Pilot Records Database), CHRC binder and adding NDR data to PRD.
  6. Complete 2-year Drug and Alcohol Records checks.
  7. Processing/ reconciling expense reports in Expense Point for various departments.
  8. Manages the corporate credit cards for all employees.
  9. Proofreading and editing drafts of reports, emails, and other work for the executive team.
  10. Answering and forwarding telephone inquiries. Screening email communication, responding to emails as appropriate.
  11. Maintain Mechanic FAA Files.
  12. File Maintenance Discrepancy Worksheets (MDW) for mechanics and outstations.
  13. Maintaining organized and accurate records, updating databases, calendars, and other files for various departments. Produce daily, weekly and monthly reports for review by the operations and maintenance departments.
  14. Oversee SIDA Badge Administration– Current Employee Renewals and arranging new employee badging with the airport security.
  15. Coordinates maintenance request for the Milwaukee locations as needed
  16. Oversees crew housing maintenance and cleaning issues.

ESSENTIAL QUALFICATIONS:

  • Education and/or Experience: High School diploma or general equivalency degree (GED), 6 or more years’ experience and/or training or equivalent combination of education and experience.
  • Computer literate and MS-Office Suite experience, including spreadsheets. Ability to learn and maintain the maintenance software platform.
  • Able to read, write, speak and understand English.
  • Must be able to obtain the appropriate security clearances and background checks.
