Position Summary:

The Associate Director, Operations is NCJW's operational anchor - ensuring that the systems, processes, spaces, and logistics that power our mission run seamlessly every day. This role drives efficiency, coordination, and structure across the organization, managing everything from technology and office systems to logistics for major meetings and events.

Blending strategic insight with hands-on execution, the Associate Director will design and implement systems that help our staff and board work smarter, streamline project execution in collaboration with teams, and ensure NCJW's operations reflect our values of equity, excellence, and care.

The ideal candidate is a process-oriented leader who loves solving problems while designing order out of complexity - someone who sees logistics as mission-critical infrastructure and approaches operational work as a way to empower staff and strengthen organizational impact.

The Associate Director reports to the Director of People and Culture. This position is based in Washington, DC, with a hybrid-schedule including 2-3 core in-office days per week.

Primary Responsibilities

Operational Strategy and Systems Development

• Lead daily operations for NCJW's DC office, ensuring it runs smoothly, efficiently, and in alignment with organizational values.
• Manage office supply procurement, restocking, storage, and inventory in line with organizational needs and budget.
• Design and refine workflows, tools, and procedures that support collaboration across teams and departments.
• Develop and manage systems for internal communication, hybrid work, and resource allocation.
• Oversee office space management - including planning, organization, and optimization - to ensure the physical environment supports creativity, productivity, and inclusion.
• Serve as primary liaison to facilities, vendors, and consultants, negotiating and managing contracts with an emphasis on stewardship and accountability.
• Finalize work related to NCJW's recent office relocation to ensure we realize our vision of a modern, mission-driven workplace.

Technology and Infrastructure

• Manage all technology systems, vendors, and contracts ensuring that NCJW's digital infrastructure supports both in-office and remote collaboration.
• Partner with leadership and department heads to manage technology needs, introduce new tools, and leverage existing platforms for productivity and knowledge-sharing.
• Manage organization-wide software licenses, hardware, and digital storage systems, ensuring accessibility and data integrity.
• Proactively identify opportunities to improve technology integration across programs, advocacy, and communications - keeping NCJW's tools current and user-friendly.

Knowledge and Systems Management

• Create and maintain systems for organizing, storing, and retrieving institutional information, ensuring transparency and continuity across teams.
• Manage the organization-wide calendar, ensuring alignment across campaigns, key events, Jewish and federal holidays, and internal milestones.
• Support internal communications through all-staff meetings, newsletters, and information systems that foster transparency and belonging.

Board Meetings and Other Events

• Serve as the operational point-person for all in-person NCJW Board and national leadership meetings, ensuring each gathering reflects excellence, care, and strategic intent.
• Partner with Communications and Development teams to coordinate printed materials, signage, and participant experiences that reflect NCJW's identity and purpose.
• Lead on-site set-up for meetings and events, ensuring environments are accessible, welcoming, and aligned with NCJW's tone and aesthetic.
• Coordinate internal events and gatherings that foster staff connection, from holiday observances and retreats to milestone celebrations and community moments.
• Develop systems for consistent event planning and execution across teams.
• Support staff engagement and cross-departmental collaboration through creative approaches to shared spaces and traditions.

Key Qualifications:

• 5+ years of experience in operations, technology management, or nonprofit administration, preferably in a mission-driven or advocacy organization.
• Proven ability to build and maintain organizational systems that enhance collaboration and efficiency.
• Strong understanding of technology infrastructure and vendor management, including hardware, software, and digital platforms.
• Excellent communication, project management, and relationship-building skills.
• A deep appreciation for the history and lived practices within Jewish tradition, culture, identities, community, and the issues and diverse communities for which NCJW advocates.
• High attention to detail with the ability to deliver projects in dynamic, collaborative, cross-functional teams.
• Ability to manage multiple priorities, short-term needs, and long-term planning.

Salary and Benefits

Salary range: $90K - $110K. Salary is commensurate with experience. Paid Federal and Jewish Holidays.
