Role Overview
The Warehouse Administrator is responsible for efficiently preparing pick/pack documents for outgoing shipments, accurately adding freight charges to orders, and processing Bills of Lading (BOLs). In addition, the role involves assisting with the UPS shipping line, when necessary, as well as managing the paperwork and system entry for inbound Czech and Castalloy shipments. This includes adding locations for these shipments and receiving them into the system to ensure seamless warehouse operations. The Warehouse Administrator plays a key role in maintaining the flow of goods and ensuring accurate shipment documentation.
Job Functions
  • Data Entry and Documentation: Accurately enter inventory data into warehouse management systems (WMS) or computer databases using a keyboard or handheld scanning devices.
  • Filing and Reporting: Organize and maintain office files, reports, and various documents, including purchase orders, invoices, and shipping records.
  • Communication: Answer phone calls and emails, communicate with suppliers, vendors, and other departments to coordinate logistics, schedule deliveries/pickups, and resolve discrepancies.
  • Customer Service: Address customer inquiries, provide order status, and handle complaints related to shipments or orders.
  • Receiving Shipments: Receive incoming deliveries, verify the quantity and quality of goods against packing slips or purchase orders, and document any damages or shortages.
  • Inventory Control: Monitor stock levels, perform periodic physical inventories and cycle counts, and investigate discrepancies or adjust errors to maintain accuracy.
  • Organization and Storage: Mark, label, and store items in an orderly and accessible manner on shelves, racks, or bins, following organizational standards and safety regulations.
  • Order Fulfilment: Pick, pack, and prepare customer orders for shipment, ensuring they are complete and accurate.
  • Shipping/Receiving Logistics: Load and unload trucks, wrap pallets, generate shipping labels and documentation, and coordinate with freight carriers for pick-ups.
  • Safety and Cleanliness: Maintain a clean, safe, and organized working environment, adhering to all health and safety policies and procedures.

Qualifications & Experience
  • Educational Background: High School Graduate or General Education Degree (GED).
  • Experience: Three to five years related experience.
  • Technical Skills: Proficiency in Microsoft Office (Outlook); Willingness to train and learn the AX ERP system / Warehouse Management System (WMS).
  • Willingness to work a flexible schedule including evenings and weekends
