Position Overview
The Operations Project Coordinator is responsible for managing and coordinating residential solar and HVAC projects from contract through completion. This role works closely with homeowners, municipalities, utility companies, installation crews, and internal departments to ensure projects stay on schedule and move efficiently through every phase of the process. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and can successfully manage multiple priorities at once.
Key Responsibilities
  • Coordinate residential solar and HVAC projects from contract through completion.
  • Schedule and coordinate all pre-installation solar and HVAC service work.
  • Schedule and coordinate solar and HVAC installations.
  • Schedule and coordinate municipal and utility inspections for solar and HVAC projects.
  • Schedule site surveys and maintain project timelines.
  • Serve as the primary point of contact for homeowners, providing project updates and answering questions throughout the process.
  • Coordinate with building departments, utility companies, inspectors, and internal teams to keep projects progressing on schedule.
  • Monitor project pipelines, identify delays, and proactively resolve scheduling or operational issues.
  • Coordinate travel arrangements for out-of-town installation crews.
  • Print and mail permit packets, applications, and required payment checks.
  • Handle incoming field calls related to design changes, procurement needs, and project updates.
  • Order and track materials for all solar and HVAC projects, ensuring crews have what they need before installation.
  • Maintain accurate project documentation and update CRM/project management systems.
  • Assist with additional operational tasks and special projects as assigned.
Qualifications
  • 1+ years of project coordination, scheduling, administrative, or operations experience (solar, HVAC, construction, or home services preferred).
  • Excellent organizational, communication, and customer service skills.
  • Strong attention to detail with the ability to prioritize and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office and the ability to quickly learn CRM and project management software.
  • Ability to thrive in a fast-paced, team-oriented environment.
  • Valid driver's license and reliable transportation.
