We are a fast-growing, boutique financial services firm in Radnor. We are hiring a Client Service & Operations Associate to join our team as an integral member of our expanding financial advisory team. The Client Service & Operations Associate will play a key role in ensuring our client relationships run smoothly. This role helps manage client communications, track projects, prepare and complete paperwork, and coordinate with recordkeepers, TPAs, and custodians to support day-to-day operations of our retirement plan advisory practice. This role is ideal for someone early in their financial services career who’s detail-oriented, enjoys process management, and wants to grow within the retirement plan or wealth management industry.

Summary of Duties

Client & Advisor Support

  • Serve as a primary administrative point of contact for clients and plan sponsors.
  • Support advisors with scheduling meetings, preparing materials, and tracking follow-up items.
  • Assist with client meeting preparation / debriefs and file organization.
  • Maintain and update client records and interactions in our CRM system.
  • Prepare client deliverables, reports, and service documents for advisor review.

Operations & Project Management

  • Coordinate with third-party administrators (TPAs) and recordkeepers on plan-related tasks.
  • Track progress on client projects (e.g., recordkeeper transitions, plan amendments, fund changes).
  • Complete tasks, help manage workflows, maintain checklists, meet client deadlines.
  • Assist with preparing, reviewing, and submitting paperwork for new accounts, transfers, and plan updates.

Administrative Support

  • Maintain internal files and documentation for compliance purposes.
  • Support firm-wide initiatives, including process improvements and client service enhancements.
  • Assist with billing, data entry, and other operational tasks as needed.


Candidate Qualifications

Knowledge/Skills

  • Strong attention to detail, organization, and follow-through.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and CRM systems (experience with Salesforce, Redtail, or Wealthbox a plus).
  • Ability to manage multiple projects and deadlines in a fast-paced, team-oriented environment.

Education

  • Bachelor’s degree required (Finance, Economics, Business, or related field preferred).

Experience
