Job Description
The Operations Associate for the Department of Business Development, formerly Mayo Clinic Ventures and Corporate Development, assists in reviewing and docketing a variety of intellectual property related agreements including confidentiality, material transfer, joint invention and license agreements. The Operations Associate dockets and maintains various entries related to proprietary Mayo Clinic technologies into a comprehensive intellectual property, contractual, and financial database. The incumbent is responsible for data accuracy, integrity and quality assurance of docketed entries, including the review of institutional intellectual property disclosures, deadlines, and associated documents. Reviews, distributes and processes intellectual property-related correspondence, including documentation received from external and internal legal counsel and business partners. The incumbent reviews and processes legal and non-legal related invoices for payment. The Operations Associate communicates a wide variety of information to teams and individuals inside and outside of the department. Strong relationship skills, including effective communication, empathy, collaboration, and the ability to build and maintain positive working relationships. A general understanding of the patent application and prosecution process, including knowledge of existing U.S. Patent and Trademark Office (USPTO) practices, notifications and communications will be needed to effectively perform position responsibilities. Performs other operational support duties as assigned.
Advanced experienced preferred utilizing Microsoft Outlook, Teams, Word, Excel, PowerPoint, Adobe Acrobat, Adobe Sign, DocuSign, TextExpander, TechTracS database, external government and financial applications or related tools.
Must live within one hundred miles of Rochester, MN campus for multiple required onsite in-person meetings monthly.
Qualifications
Requires 1-2 years post-secondary education or a H.S. diploma and 3-5 years of business operations, administrative support or information/data management experience. Bachelor's Degree in business or related field is recommended. Experience working within a technically oriented relational database is strongly preferred. Requires previous experience in a work situation demonstrating organizational ability, accuracy and a high attention to detail. Requires strong analytical skills, independent decision making, problem solving and ability to manage multiple tasks in a fast-paced environment. Must have strong human relations and communication skills, excellent clerical aptitude, math skills and accurate keyboarding skills. Must maintain strict confidentiality and handle a wide variety of confidential information in a sensitive manner. Requires sound decision-making and judgment capabilities. Contributes to a cooperative and productive atmosphere. Must be adaptable/flexible within a changing work environment and comfortable working with ambiguity. Must possess proficiency with computers including but not limited to Microsoft Word, Microsoft Excel, Microsoft Outlook, Internet browsers and relational database experience.
