Job description

Administrative Assistant

The Administrative Assistant supports the Water for Good team through general administrative assistance, office management and reception, and other duties as assigned. The Administrative Assistant should remain flexible in assigned duties, as they may be asked to assist with tasks in multiple departments.

Responsibilities & Duties Overview:

Administrative Support

  • Support the Water for Good team in tasks related to office management. Duties may include:
    • Coordinate with Water for Goodโ€™s landlord to maintain the office, including maintaining office supplies, furniture, and equipment
    • Manage mail pickup, organization, and distribution
    • Coordinate logistics & hospitality of office meetings and events
    • Work cross-departmentally to support other teams with administrative tasks
    • May be asked to support and assist the Executive Assistant as needed
    • Support the planning of Board of Director meetings and other leadership meetings, as needed
    • Provide travel management support, as needed
    • Other administrative and office duties as assigned

    Development Team Support

    • Support the Development team with clerical accounting tasks, such as:
      • Revenue reconciliation
      • Preparing payments
      • Check opening and deposits
      • Managing the office petty cash
      • Providing receipts to donors
      • Other related tasks
      • Support the Development team with gift entries to Salesforce as needed
      • Assists in donor communications through answering emails and phone calls, and preparing and mailing packages to donors
      • Other duties as assigned.

Work Experience & Qualifications:

Required Qualifications:

  • Passion for Water for Goodโ€™s mission of transforming lives through sustainable access to safe water, and improved sanitation and hygiene in places that need it most.
  • 2-3 years of administrative experience in an office environment or similar experience
  • Able to learn new technology quickly
  • Ability to maintain confidentiality of sensitive information
  • Highly organized and attentive to detail
  • Proficient with Microsoft
  • Excellent written and verbal communication skills
  • Legally eligible to work in the United States; no sponsorship will be provided

Preferred Qualifications:

  • 1 - 2 years of experience supporting Sr. Management teams or as an Executive Assistant
  • 1 - 2 years of experience working with project management & messaging tools such as Asana & Microsoft Teams
  • Bachelorโ€™s degree or 3-5 years of equivalent experience

Physical Qualifications:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times

Travel Required: Less than 10%
