The Deposit Operations Specialist supports the bank's critical deposit functions by ensuring that daily processing activities are completed accurately, efficiently, and in compliance with all regulatory and internal policy requirements. This role serves as a key operational resource for internal departments, providing expertise in deposit regulations, payment processing, exception handling, and research. The position requires strong analytical skills, attention to detail, and the ability to manage time-sensitive responsibilities in a fast-paced environment.
Duties & Responsibilities:
Operational Processing & Quality Control
  • Support daily deposit operations activities across ACH, checks, wires, and internal transaction channels.
  • Review and validate transaction accuracy through routine reconciliation and quality control measures.
  • Monitor exceptions, discrepancies, and unusual items, ensuring corrective action is taken promptly.

Risk Management & Compliance
  • Ensure all processing follows regulatory requirements including NACHA rules, funds availability regulations, and internal policies.
  • Identify and escalate potential risks, fraud indicators, or irregular account activity.
  • Maintain strict adherence to confidentiality, audit standards, and dual-control procedures.

Research & Issue Resolution
  • Conduct research to resolve customer and internal inquiries with clarity and accuracy.
  • Partner with Retail, Lending, Digital Banking, and other teams to resolve operational issues.
  • Provide guidance to frontline employees regarding deposit processes and system functionality.

Reporting & Documentation
  • Prepare and maintain operational reports used for reconciliation, exception tracking, and compliance review.
  • Ensure all documentation, logs, and records meet retention and compliance standards.
  • Assist during audits and internal reviews as needed.

Collaboration & Continuous Improvement
  • Collaborate with departmental leadership to improve workflows and enhance efficiency.
  • Identify opportunities to streamline processes and strengthen internal controls.
  • Participate in training, system enhancements, and operational improvement initiatives.
