Job description

Department Assistant

The Department Assistant, Property Management will focus exclusively on supporting the Director of Property Management & assigned Stream Market within property management in various capacities including vendor contract review, coordination of meetings and events, and assisting with the transition of new properties and new Property Management employees.

Responsibilities include supporting annual audits of Property Managers for SOC1 compliance, organizing and coordinating specific property information to be tracked, assisting with onboarding of new properties to be managed by Stream, assisting with coordinating New Hire items, assisting with marketing materials for the Property Management team, coordination of events and meetings as needed, administrative support of Director as needed, managing, maintaining, organizing, and being responsible for the vendor contract approval/execution process, ensuring that all contracts are completed accurately, maintaining the electronic filing system, maintaining current information on properties under management, collecting, logging and tracking information on properties necessary to track total square footage managed, team allocations, electricity contracts, deadline trackers, etc, coordinating meetings, schedules appointments, maintaining calendars, and assisting with travel itineraries and conference room reservations (including coordination of lunch meetings and site visits with PM teams), responding to general inquiries and providing information as needed, while maintaining confidentiality in all communication, following up with PM teams regarding pending items โ€“ Trackers: OPE, Budgets, Utilities, etc..., assisting with recognition of work anniversaries and birthdays, creating and finding content for newsletters and bulletins, ensuring the team organizational chart is updated.

Qualifications include a Bachelor's Degree preferred, 3-5 years' work experience in similar field and/or job role. Including but not limited to prior administrative or office management experience, strong verbal and written communication skills; prior experience communicating with employees and/or vendors in a professional, courteous environment, proficiency in Microsoft Office, particularly Excel, organized, possess self-initiative, be goal oriented and proactive, and have excellent communication skills, good organizational skills, attention to detail, prior project management experience is preferred, assist with scheduling and arranging appointments for Director of Property Management team, establishing processes and procedures along with creating defined workflows for department efficiencies, desire and ambition to learn and grow in Stream's property management department, attributes which align with Stream's core values of Smart, Honest, Nice, and Passionate, skills- anticipating and proactively determining the needs of others and willingness to collaborate with others.
