We are currently seeking a motivated, organized, and customer-focused Automotive Service Assistant to support our fast-paced Service Department. This position is ideal for someone who enjoys working with people, thrives in a collaborative environment, and has strong administrative and communication skills.

Position Overview

As an Automotive Service Assistant, you will play a vital role in supporting our Service Advisors, Business Development Center (BDC), and customers throughout the service process. You will help ensure smooth day-to-day operations by managing customer communications, creating repair orders, and providing administrative support to our service team.

Responsibilities
  • Answer incoming phone calls professionally and efficiently.
  • Schedule service appointments and direct customer inquiries to the appropriate department.
  • Generate and prepare repair orders accurately.
  • Follow up with customers regarding appointments, service updates, and completed repairs.
  • Assist the Business Development Center (BDC) with customer follow-up calls and appointment confirmations.
  • Support Service Advisors with Xtime communications, including customer updates, approvals, and service recommendations.
  • Maintain accurate customer and vehicle records.
  • Assist with daily administrative tasks within the Service Department.
  • Provide outstanding customer service while creating a welcoming and professional experience.
  • Work collaboratively with advisors, technicians, and management to ensure an efficient service process.
Qualifications
  • Previous customer service or administrative experience preferred.
  • Automotive dealership or service department experience is a plus but not required.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Comfortable using computers and dealership software.
  • Ability to work in a fast-paced environment while maintaining attention to detail.
  • Professional appearance and positive attitude.
  • Dependable, punctual, and eager to learn.
  • High school diploma or equivalent required.
