Job description

Are you ready to LOVE your job?!  We are looking for an upbeat individual to join our Front Desk Team.  This individual is responsible for welcoming patients to the practice, check-in/check-out, reviewing and updating demographic and insurance information for accuracy, entering new patient information, collecting financial responsibility and working with other key Team players for practice efficiency.  Prior medical office experience preferred.  Nextech EHR experience, a plus.  M-F,  EOE. 

  • Checks patients in, greeting everyone in a pleasant, professional and upbeat manner.
  • Records patient’s arrival time in electronic health record (EHR) and verity appointment with the appropriate physician.
  • Verifies patient demographic information for accuracy. Has patient complete necessary forms and scans into EHR system.
  • Reviews appointments and ensures that proper authorization or referrals are in place.
  • Confirms and completes new patient demographics.
  • Scans patient’s insurance cards and ID/driver’s license into the practice management system.
  • Collects all copayments, co-insurance, deductibles and financial responsibility at time of check-in.
  • Notifies the technician or doctor through the EHR if the patient has any immediate concerns, per protocol.
  • Contacts patients that no show per office protocol.
  • Communicates any changes to the schedule, so vacancies can be filled.
  • Tracks patients in the reception area and communicates with them as needed.
  • Assists Phone Team with incoming phone calls and scheduling appointments.
  • Assists in administrative and billing paperwork and workflow.
  • Maintains front lobby appearance, promoting a positive environment.
  • Reviews patient’s chart in EHR, follow doctor’s instructions for when the patient is due back and make appropriate future appointments at check-out.
  • Schedules recall appointments as noted on the patient’s account.
  • Contacts patients where appointment confirmations were not received.
  • Resolves any scheduling conflicts with the Supervisor.
  • Assists in active coverage for incoming patient telephone calls, scheduling and scheduling projects.
  • Closes out the day’s totals and balances per protocol.
  • Locks front door and turn off lights. Straightens up lobby area if necessary.
