Pay Grade: C06, C07

Position Summary

Provides high-quality administrative support in a timely, accurate, and courteous manner.

Duties And Responsibilities
  • Main point of contact for Transmission employees for Teams, UKG, and HR/benefits-related questions. Handles Concur expense reports for union employees.
  • Reviews electronic timesheets for all union Transmission employees and corrects any contractual or data entry errors prior to final approvals. Assists payroll in obtaining documentation as needed.
  • Collects and distributes mail, including resolving all mail issues.
  • Enters inspection data and runs Substation Inspection reports for distribution to Members. Creates billing invoices provided to Members for equipment repairs and services rendered.
  • Provides support for the Facilities group at both Spencer locations to include printing support for the engineering department as well as delivery services.
  • Answers phone, responds to phone requests, and welcomes visitors in a friendly and customer-responsive manner. Schedules work, appointments, meetings, training, and travel arrangements.
  • Maintains inventory, responsible for ordering breakroom and office supplies.
  • Provides meeting, event and special function support and setup to include all catering and catering coordination at both PDOC and the Engineering Building.
  • Provides Executive Staff Meeting support for meetings held at both Spencer locations.
  • Maintains and updates central and departmental files and records. Maintains files in an organized manner to ensure the quality of records and ease of retrieval.
  • Performs other duties as assigned.
Job Specifications

Education

  • High School Diploma or GED minimum
  • Associate's Degree in Business or related field preferred

Experience

  • 7 years' prior office experience

Skills and Abilities

  • Intermediate computer skills including Microsoft Office Suite, Adobe Acrobat and other company software
  • Ability to communicate with individuals at all levels and work as part of a team
  • Strong written and oral communication skills
  • High level of confidentiality required
  • Strong organizational skills and attention to detail
  • Strong customer service orientation
  • Ability to manage multiple projects with varying scopes and timelines
  • Valid Indiana Driver's License required
