Job Description: Automotive Dealership Biller

Schedule: Monday through Friday, 8am to 5pm

POSITION SUMMARY

The Automotive Dealership Biller is responsible for accurately processing and billing all vehicle sales transactions while ensuring compliance with dealership policies, manufacturer requirements, and state and federal regulations. This position works closely with the Sales, Finance, Accounting, and Title departments to ensure timely funding, accurate accounting, and exceptional customer service.

RESPONSIBILITIES

  • Process all new and used vehicle sales transactions accurately and promptly.
  • Review deal jackets for completeness and accuracy before billing.
  • Verify all required documentation, including buyer's orders, finance contracts, trade-in documentation, rebates, and manufacturer incentives.
  • Bill retail, wholesale, fleet, and dealer trade transactions.
  • Post vehicle sales and related accounting entries into the dealership management system (DMS).
  • Prepare paperwork for vehicle titling and registration departments as required.
  • Maintain organized records of completed transactions.

REQUIREMENTS

  • High school diploma or equivalent required; associate degree in accounting or business preferred.
  • Previous automotive dealership billing or accounting experience preferred.
  • Knowledge of dealership accounting principles and automotive sales documentation.
  • Experience using dealership management systems (such as CDK preferred.)
  • Strong attention to detail and organizational skills.
  • Excellent data entry and mathematical skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Strong communication and problem-solving abilities.
  • Proficiency with Microsoft Office, especially Excel.
  • Understanding of automotive sales and finance processes.
  • Knowledge of state title and registration requirements.
  • Ability to identify and resolve billing discrepancies.
  • Strong customer service mindset.
  • Ability to maintain confidentiality of financial and customer information.
