Job description

Ozark Chevrolet is looking for an organized, dependable, detail-oriented Administrative Assistant to join our team.

This position will assist with a variety of administrative responsibilities throughout the dealership, with a primary focus on processing service contract, GAP, and other aftermarket product cancellations. This person will also occasionally provide backup coverage for our receptionist and help answer incoming dealership phone calls when needed.

The right person for this role will be comfortable working with paperwork, computer systems, customers, lenders, and dealership personnel to make sure cancellations are processed accurately and in a timely manner.

Responsibilities

  • Process service contract, GAP, maintenance plan, and other product cancellations
  • Calculate and verify cancellation information and refund amounts
  • Submit cancellation requests to warranty and product providers
  • Communicate with lenders when refunds need to be applied to customer loans
  • Track outstanding cancellations and follow up to ensure they are completed
  • Maintain accurate records and supporting documentation
  • Assist customers and dealership employees with questions regarding cancellation status
  • Answer incoming dealership phone calls as needed
  • Provide occasional backup coverage for the receptionist
  • Greet and assist customers when covering the front desk
  • Perform data entry and general dealership administrative duties
  • Assist the accounting and management teams with miscellaneous projects as needed
