Overview

The Dealership Office Manager is responsible for leading the dealership's administrative, financial, and compliance functions while ensuring efficient business office operations. This role oversees accounting processes, title administration, payroll support, office personnel, and operational compliance to ensure accurate financial reporting and exceptional internal customer service. The Dealership Office Manager partners with dealership leadership to drive operational excellence, maintain regulatory compliance, and support overall business performance.

Key Responsibilities

Business Office Leadership

  • Lead the daily operations of the dealership business office.
  • Establish and maintain standardized operating procedures across all administrative functions.
  • Promote accountability, teamwork, and continuous process improvement.
  • Ensure adequate staffing and office coverage to support dealership operations.

Financial Management

  • Oversee accounts payable, accounts receivable, payroll support, and cash management for their location.
  • Assure GL accuracy
  • Review daily cash reconciliations, deposits, and financial transactions.
  • Monitor expense reporting, employee reimbursements, and company credit card reconciliations.
  • Assist with month-end closing, financial reporting, and audit preparation.
  • Ensure compliance with company financial policies and internal controls.
  • Manage daily deal posting

Title & Regulatory Compliance

  • Manage vehicle title processing and registration activities.
  • Ensure compliance with all federal, state, DMV, lender, and licensing requirements.
  • Maintain dealership records, legal documentation, and compliance reporting.
  • Coordinate internal and external audits and implement corrective actions as needed.

Operational Support

  • Partner with Sales, Finance, Parts, and Service departments to ensure smooth dealership operations.
  • Identify opportunities to improve administrative efficiency and workflow.
  • Oversee office supplies, equipment, and vendor relationships.
  • Support new dealership initiatives, acquisitions, and operational changes.
  • Assist with special projects assigned by dealership leadership.

Human Resources Administration

  • Support hiring, onboarding, and employee record management.
  • Coordinate payroll documentation and timekeeping processes.
  • Ensure compliance with company policies and employment regulations.
  • Assist managers with performance documentation and administrative HR functions.

Customer Service

  • Resolve customer concerns related to contracts, titles, payments, and administrative issues.
  • Ensure all customer documentation is processed accurately and timely.
  • Support a customer-first culture throughout the dealership.
Qualifications
  • Minimum of 5 years of business office, HR, accounting, and or dealership administration experience.
  • Previous leadership or supervisory experience required.
  • Experience in an RV, automotive, marine, or powersports dealership preferred.
  • Strong knowledge of accounting principles, financial reporting, and internal controls.
  • Knowledge of DMV/title regulations and dealership compliance requirements.
  • Proficiency in dealership management systems (DMS), Microsoft Office, and accounting software.
  • Excellent leadership, communication, organizational, and problem-solving skills.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Occasionally lift up to 25 pounds.
  • Ability to travel between dealership locations as business needs require
