The Communications & Marketing Coordinator is a full-time Advancement team member and the communications and brand engine for DDCA. This is a practitioner role - the person we hire will be the primary creator, writer, photographer, and digital marketer for Donum Dei, with work seen by current families, prospective families, donors, and the broader San Francisco community every week. They work in close daily partnership with the Advancement Director, Admissions Coordinator, Events Manager, and Registrar.   • Build and maintain an annual communications plan aligned to the enrollment, fundraising, and events calendar; update each trimester
  • Establish communications as a proactive institutional discipline - not reactive and ad hoc
  • Coordinate outbound communications from the Head of School, Advancement Director, and program areas (Musical Conservatory, Liberal Arts, Student Activities, Athletics)
  • Track and report key metrics monthly: email open rates, social engagement, web traffic, lead inquiry volume
Content Creation & Internal Communications
  • Draft, design, and distribute Academy News on even weeks of each session (~14-16 issues/year)
  • Draft monthly Head of School letter to all families; write ad hoc all-school notices and announcements
  • Develop all communications for Spring Gala, Giving Tuesday, year-end appeal, and annual fund campaigns
  • Create event-specific communications for Back-to-School Night, PENs, Grandparents' Day, Convocation, Greatest Gift, Holy Week, and others
  • Draft and distribute weekly internal staff communication during the school year
Digital Marketing & Social Media
  • Own and grow DDCA's Instagram, Facebook, and Google Business Profile; 3-5 posts/week with a 4-week forward content calendar
  • Serve as primary photographer and videographer for campus life and events; produce short-form video reels; deliver edited content within 48 hrs
  • Manage DDCA website (Webflow): content updates, blog posts, SEO (title tags, meta, alt text); minimum one post/month
  • Manage Google Ads campaigns during enrollment recruitment seasons (Sep-Oct, Jan-Mar); monitor NICHE, Google Business, Yelp, and directories
  • Operate HubSpot nurture sequences; serve as first point of contact for web inquiries (acknowledge 24 hrs, route 48 hrs); report monthly on ad spend, cost per lead, and conversion rates
Brand, Editorial & Collateral
  • Serve as Chief Editor on all website content; interface with external marketing firm (Houston) on design, development, and content
  • Review and approve all external communications before publication - no family-facing content goes out without this role
  • Maintain DDCA brand standards across all channels; build and steward a brand guide for faculty and staff
  • Produce and maintain all admissions and fundraising collateral: brochures, one-pagers, packets, event flyers, signage, and digital versions
  • Co-lead annual Yearbook as Content Manager; manage editorial calendar, ordering, and distribution
Admissions & Fundraising Communications
  • Produce and send monthly admissions e-newsletter (Sep-Mar); maintain HubSpot nurture sequences for each funnel stage
  • Develop admissions social content during recruitment seasons: testimonials, program spotlights, campus life, and day-in-the-life content
  • Support the Advancement Director with donor-facing communications: campaigns, appeals, impact stories, and stewardship updates
  • Create all promotional materials for Fall and Spring Info Sessions; write post-event follow-up emails for attendees, tour visitors, and Visit Day families
REQUIREMENTS & PREFERRED QUALIFICATIONS Required Preferred
  • Agree with Donum Dei's Statement of Faith; be in good standing with a Christian church
  • Genuine love for children and a commitment to cultivating a love for learning
  • Attend Morning Assembly (M/W/F 8am) and Friday Staff Meetings (1:45-2:45pm)
  • Participate in school activities: Parent Orientation, Back-to-School Night, Greatest Gift, equipping events, and fundraisers
  • 3+ years in communications, marketing, social media, or a related field
  • Exceptional writing ability across audiences: parents, donors, prospective families, faculty
  • Demonstrated social media management: content creation, scheduling, engagement, and analytics
  • Email marketing platform experience (HubSpot, Mailchimp, or similar) and CRM workflows
  • Website CMS proficiency; ability to publish content and implement basic SEO
  • Photography skills: strong eye for composition and visual storytelling
  • Ability to manage multiple projects and recurring deadlines independently
  • Bachelor's degree in Communications, Marketing, Journalism, or related field
  • Experience in a school, nonprofit, or mission-driven organization
  • Google Ads, Google Analytics 4, and Search Console
  • Video production and editing (Reels, short-form social video)
  • Graphic design proficiency (Canva, Adobe Creative Suite, or equivalent)
