Job description

Job Title: Training & Workforce Support Coordinator
Department: Human Resources
Location: 330 Monroe Avenue Rochester, NY 14607- Must be willing to travel to additional Home Care sites
Hours Per Week: 40 hours per week
Schedule: 8:00am-4:30pm or 8:30am-5:00pm Monday through Friday

Position Summary
The position provides both administrative coordination and trainee support for Workforce Training Programs. This role manages day to day logistics, trainee communication, documentation, and scheduling while also providing coaching, barrier removal support, and career navigation to individuals pursuing PCA, HHA, and CNA pathways.
Working closely with the Program Manager, the Coordinator ensures trainees receive a seamless, supportive experience from enrollment through training completion and connection to employment opportunities.
This is a grant-funded position. Continuation of the role is contingent upon the availability of grant funding and program approval.
Key Responsibilities
Training & Administrative Coordination
  • Coordinate training schedules, class rosters, attendance tracking, classroom readiness, and learning materials.
  • Support trainee onboarding, documentation, stipend distribution, and travel reimbursement workflows.
  • Maintain accurate records, compliance files, and audit ready documentation for DOH/SED requirements.
  • Assist with data collection, reporting, and tracking for grant deliverables and OSOS submissions.

Trainee Support & Coaching
  • Provide individualized support to trainees, including job readiness, resume assistance, professionalism expectations, and career pathway guidance.
  • Identify barriers to training completion and coordinate referrals to benefits, transportation, childcare, ESL, or remediation resources.
  • Conduct regular check ins and progress monitoring to support completion and certification.
  • Help trainees understand PCA/HHA/CNA pathways, next step opportunities, and employment options within the region.

Communication & Partner Coordination
  • Serve as a primary point of contact for trainees, instructors, partners, and community organizations.
  • Support outreach and recruitment activities by preparing materials and engaging with community partners.
  • Maintain and update job opportunity listings for trainees throughout the program.

Required Qualifications
  • Associate's degree required
  • Minimum 1 years of experience in workforce development, case management, training coordination, human services, or related administrative support roles.

Preferred Qualifications
  • Bachelor's degree preferred,
  • Experience in direct care roles (PCA, HHA, CNA) or long term care settings.
  • Strong organizational, communication, and customer service skills, with the ability to manage documentation and administrative workflows.
  • Demonstrated ability to balance administrative coordination with hands on coaching and trainee support.
  • Effective problem solving and follow through skills, with the ability to support individuals facing barriers to employment or training.
  • Collaborative, compassionate, and able to operate independently in a fast moving, compliance driven environment while motivating and supporting diverse participants.
