Job description

Childcare Systems & Registration Operations Assistant

We are seeking a Childcare Systems & Registration Operations Assistant to support the setup, maintenance, and accuracy of our program listings and registration systems. This role works closely with our Project Manager, Registration Team & Executive Staff to build and manage enrollment and drop-in programs across all locations using Playground software system. You will play a critical role in ensuring our systems are accurate, up-to-date, and functioning smoothly for both families and staff. This is an ideal role for someone who enjoys working with systems, data, and structured processes and takes pride in getting the details right.

Location: Fishkill, NY | Job Type: Part-Time, Non-Exempt | Pay: $21.00/hr Schedule: Monday–Friday, 15–20 hours/week, hours vary between 9am - 3pm | Featured Benefit: Employer-Paid Childcare

Healthy Kids Programs provides childcare for school-age children (ages 5–12) enrolled in our program on the days and during the hours you work. Employer contributions cover the cost of care, so you can focus on your job while your child participates in a safe, structured, and engaging program, all without needing to arrange outside care.

What You'll Do

Program Setup & System Management

  • Build and maintain enrollment application listings and drop-in program listings across 170+ locations in Playground
  • Manage updates to schedules, pricing, and program details
  • Ensure accuracy and consistency across all listings

Registration & Billing Support

  • Support tuition billing, schedules, and account updates
  • Track and apply late payment and late pick-up fees
  • Assist with reconciliation of billing discrepancies

Reporting & Data Accuracy

  • Run system reports and identify discrepancies
  • Investigate and resolve data inconsistencies
  • Maintain clean, accurate data across 300+ programs

Enrollment Support

  • Assist with enrollment management for ~3,000 students
  • Upload and maintain program documents
  • Audit forms and records for compliance

Systems & Process Support

  • Troubleshoot platform issues and support staff with system usage
  • Create simple guides and SOPs for internal use
  • Help improve workflows for efficiency and accuracy
  • SharePoint data management

Content & Communication Support

  • Distribute & creation of electronic newsletters across 170+ locations
  • Create and edit basic documents and fillable PDFs

Requirements

Qualifications:

  • Highly detail-oriented and organized
  • Comfortable working with systems, data, and repetitive processes
  • Strong problem-solving and critical thinking skills
  • Ability to work independently and manage multiple tasks
  • Proficiency in Excel, SharePoint and Microsoft Office tools
  • Experience with Canva and basic document creation
  • Strong written and verbal communication skills
  • Strong technical skills
  • Fast learner and proactive

Bonus if you have:

  • Experience with Playground or a similar childcare registration system
  • Experience with billing, reconciliation, or data auditing
  • Experience creating SOPs or training materials
