Job description

WORK OPTION: The NBA currently provides eligible employees the option of working remotely one day per week.
Position Summary
Provides primary administrative support to the NBA's General Counsel and two Deputy General Counsels, exercising a high level of professionalism, discretion, attention to detail, and responsiveness. Provides additional support on department administrative matters, including coordinating logistics for Legal Department staff and guests attending NBA events, processing expenses for the Legal Department Meeting Card, P-Card, and BTA, and arranging Legal Department staff meetings and events.
Individual should be self-motivated, communicate effectively, and demonstrate a creative approach to problem-solving.
Major Responsibilities

  • Manage calendars for the General Counsel and Deputy General Counsels and schedule, plan, and coordinate meeting logistics, including booking conference rooms, greeting guests, arranging for catering and tech support, as needed, and performing other tasks related to the execution of in-person meetings
  • Manage travel schedule and arrangements for General Counsel and Deputy General Counsels, including necessary adjustments after hours or on weekends
  • Prepare and process expense reports for General Counsel and Deputy General Counsels
  • Manage incoming communications to General Counsel and Deputy General Counsels, including answering/redirecting phone calls and appropriately routing incoming correspondence and inquiries
  • Assist in document preparation (including proofreading, redacting, reformatting, copying, scanning, and binding), processing agreements for signature through DocuSign, and distributing/maintaining copies of agreements
  • Provide support for communications with members of the Board of Governors, owner committees, and senior executives, including assistance in meeting scheduling, set-up and preparing correspondence and other materials
  • Manage distribution and filing of department-wide and company-wide memos from General Counsel and Deputy General Counsels
  • Maintain filing system for fine letters and related documents
  • Interact with people at all levels of the organization, including senior management at the NBA and the teams, as well as business partners and vendors
  • Manage scheduling, planning and logistics coordination for all departmental meetings and events
  • Coordinate logistics (credentials, hotels, tickets, hospitality, etc.) for Legal Department staff and guests to attend NBA events (e.g., NBA All-Star, NBA Draft)
  • Process expense reports for the Legal Department Meeting Card, P-Card, and BTA
  • Maintain Legal Department distribution lists, binders, and charts, and assist in the organization and maintenance of paper and electronic Legal Department files, documents, and records
  • Maintain office supplies, tech equipment, and other necessary work tools for Legal Department staff
  • Order departmental gifts (for staff and external vendors)
Required Education/Professional Experience
  • 10 years of experience supporting a senior executive
  • Prior experience supporting lawyers preferred
  • Notary Public preferred

Salary Range:
$130,000-$145,000
