Job Focus Area
This role within the Office of Assessments, Accountability, and Analytics directly reports to the Director of Research and Data Privacy and plays a key role in supporting agency-wide compliance with student data privacy laws, regulations, policies, and security requirements. The Data Privacy Coordinator works closely with the Data Privacy Program Manager, agency leadership, and staff across the Louisiana Department of Education to promote responsible handling and protection of sensitive education data.
The position is responsible for building and managing the infrastructure around privacy processes which include coordinating and monitoring agency data privacy training and compliance activities; maintaining accurate records of data-sharing agreements, data system access requests, and approvals; supporting privacy and security procedures; and helping ensure agency staff understand and follow applicable data privacy requirements. The role requires strong organizational, communication, and analytical skills, attention to detail, and the ability to manage confidential information and multiple compliance activities simultaneously. The ideal person for this position would be someone who can build and manage an automated tracking system, monitor whether it is functioning correctly, identify problems, and improve the process.

  • Experience developing or maintaining standard operating procedures, guidance documents, training materials, or other compliance resources.
  • Strong organizational and project management skills, with the ability to manage multiple processes, deadlines, approvals, and stakeholders simultaneously.
  • Strong analytical and problem-solving skills, with the ability to identify gaps, inconsistencies, and potential compliance concerns and determine appropriate next steps.
  • Strong attention to detail and demonstrated ability to identify discrepancies, missing documentation, or potential compliance issues.
  • Advanced proficiency with Google Workspace including Google Sheets, Docs, Slides, Forms, Data Studio/Looker Studio and Google Apps Script.
  • Advanced proficiency with Jotform
  • Ability to collaborate effectively with information technology, security, legal, research, data governance, and operational teams.
  • Ability to manage multiple priorities, independently monitor deadlines and follow-up activities, and work effectively with staff across an organization.

Minimum Qualifications
A bachelor's degree plus six years of experience in education, administrative services, web development, or graphic design; OR
A master's degree plus four years of experience in education, administrative services, web development, or graphic design; OR
A doctorate in education plus two years of experience in education, administrative services, web development, or graphic design.

Job Duties and Other Information
Job Duties:
As the Data Privacy Coordinator, your day-to-day responsibilities will include:
  • Build, maintain, and improve tracking systems for data privacy training, data system access, data-sharing agreements, and other compliance activities using tools such as Google Sheets, Looker Studio, Apps Script, and Jotform.
  • Monitor privacy compliance activities and deadlines, identify outstanding items or issues, and follow up with agency staff, supervisors, and other stakeholders to ensure requirements are completed.
  • Process and track data system access requests, including reviewing documentation, monitoring approvals, and tracking access modifications and removals.
  • Maintain and monitor data-sharing agreement records, including agreement status, expiration dates, renewals, approvals, and required follow-up activities.
  • Review tracking systems and processes for accuracy and functionality, identify errors, gaps, or inconsistencies, and make adjustments or coordinate solutions as needed.
  • Develop reports, dashboards, and other tools to provide the Data Privacy Program Manager, Director of Research and Data Privacy, and agency leadership with visibility into privacy and compliance activities.
  • Identify opportunities to streamline and automate privacy processes and develop or implement improvements that increase efficiency, accuracy, and accountability.
  • Develop and maintain privacy-related documentation, including standard operating procedures, guidance, training materials, communications, and other staff resources.
  • Work closely with the Data Privacy Program Manager, Information Technology, security staff, and agency offices to support privacy, security, access-control, and compliance processes and resolve issues.
  • Respond to staff questions and support privacy reviews, audits, and other compliance activities by gathering information, maintaining documentation, tracking follow-up actions, and escalating concerns when appropriate.

Position-Specific Details:
Appointment Type: This is a part-time WAE position and is not eligible for benefits or paid holidays and has a limit to the number of hours worked (maximum of 1245 hours) in a 12-month period, beginning with the first day of employment. The hours belong to the employee, and any available hours follow the employee.Career Progression: This position does not participate in a Career Progression Group.Work Schedule: Work hours are Monday - Friday. Work hours will be determined.Compensation: The salary offered will be determined based on qualifications and experience. This position has a Special Entrance Rate (SER) of $30.13/hour.
