Job description

Work Location: Santa Clara, CA, US; Onsite

Work Schedule: Monday to Friday, 8 hours per day

Engagement Model: Fixed-term employment; Full-time

Estimated Project Duration: 4 to 5 months

Role Summary

The Receptionist will welcome participants for the onsite data collection project, including checking their IDs, having them sign the NDA and providing instructions on expected participant behavior during the collection. The Receptionist will also help manage the daily schedule and will work with the remote Scheduler in finding replacements in case of participant cancellations.

Role Responsibilities

  • Check participants in and out of the study through booking software

  • Treat participants with the utmost level of care and professionalism

  • Confirm that participant information is logged correctly

  • Support participants throughout the process while ensuring they understand the study’s guidelines

  • Ensure accurate and up-to-date information through transparent and clear communication

  • Facilitate project changes for scheduling and resource planning

  • File study documentation when appropriate

  • Provide ongoing support and information to participants

  • Help manage the daily schedule and work with the remote Scheduler: contact participants to confirm appointments, provide directions and/or find replacement participants in case of cancellations

  • Manage the availability of water, snacks, and other goods and supplies

Role Requirements

  • High school diploma or equivalent; further education or certification is a plus

  • Proven experience in scheduling, reception or administrative roles

  • Professional English fluency

  • Must possess outstanding customer service and excellent communication skills including phone, email and electronic media communication

  • Experience working as a company team member

  • Must be flexible and able to shift focuses quickly

  • Support moderators, project coordinators and managers in achieving the desired goal

  • Resilient personality; must look for opportunities to adjust through applied feedback

  • Self-motivated, quick learner and organized

  • Ability to juggle multiple projects at once and effectively multitask

  • Quality and detail-oriented mindset

  • Ability to work independently and meet deadlines
