About the role
Our sales reporting infrastructure is currently split across three systems: a manual MQL tracking sheet, a Kommand Center spreadsheet with custom formulas, and our HubSpot/Databox dashboards. Our team has an immediate need for a short term contractor to maintain, troubleshoot, and improve the data pipelines that feed executive reporting.
Scope of Work
Phase 1: Audit (Week 1-2)
  • Map all existing reporting systems: HubSpot dashboards, Databox connections, manual sheets, Zapier automations, and any undocumented workflows
  • Identify what is automated vs. manual, what is broken, and what is redundant
  • Document the current state in a systems map with owners, data flows, and dependencies
  • Deliver a gap analysis: what is working, what needs fixing, what should be deprecated

Phase 2: Stabilize + Fix (Week 3+)
  • Repair broken automations and workflows
  • Build the 4 remaining metrics identified in our consolidation report (tier breakdowns, weighted conversion rates, GameFilm tracking, expected MRR forecasting) in HubSpot
  • Consolidate reporting into HubSpot/Databox as the single source of truth
  • Reduce or eliminate manual data entry in the weekly Rolling Sales Report

Phase 3: Document + Hand Off
  • Write SOPs for every automation and reporting workflow
  • Create a maintenance runbook so the ops team can troubleshoot without external help
  • Conduct a handoff session with VP of Sales and Operations Coordinator before engagement ends

Required Qualifications
  • HubSpot CRM experience (deal pipelines, custom properties, reporting, workflows)
  • Databox experience or equivalent BI dashboard tool
  • Zapier / Make automation building and debugging
  • Sales operations background with understanding of MQL/SQL funnels, pipeline stages, and conversion metrics
  • Strong documentation skills because the deliverable is a system the team can maintain, not a dependency on the contractor

Bonus Point Qualifications
  • Agency sales ops experience (high-volume SMB pipeline, multiple reps)
  • Familiarity with ClickUp for task management
  • Experience consolidating or migrating reporting systems

Compensation for this role: $40 - $50/hour depending on experience
