Job description

Summary:

 

The Project Coordinator works closely with the Project Administrator and Project Manager to assure that contracts are accepted and set up correctly for proper execution from project turnover from sales though project closeout and turnover to the support team.  The Project Coordinator also ensures all teams, (including Manufacturing, engineering, management & support), have all resources and information needed to move each part of the project execution process forward. 

The ideal person will have the ability to work with multiple teams and communicate clearly with each group as to the needs of a particular project.  The ability to work independently, and to know when to bring in other team members to assist with specialized information is required.  Additionally, this person should have the ability to work on multiple projects and workflows in different stages of progress, at the same time and have a good understanding of overall project workflow to ensure they are able to see what needs to be done and take necessary steps to move the project forward.

 

Responsibilities:

 

  • Review and interpret new contracts & initiate internal project set up
  • Manage project related paperwork & maintain accurate and complete program files
  • Define and distribute initial overview of project details to Manufacturing, Accounting and Purchasing teams
  • Update and maintain project database
  • Coordinate with Project Manager and Manufacturing on project schedule and update weekly
  • Initiate and maintain internal sales orders related to projects and update frequently
  • Determine and coordinate internal and external parts and resources, ensuring that projects remain within scope, schedule, and budget.
  • Review work orders and invoices and submit milestone and subcontractor payment releases accordingly
  • Coordinate with Manufacturing and Receiving to ensure proper distribution and issuing of parts to correct projects
  • Interpret and implement domestic and international shipping logistics and insurance (as required)
  • Prepare shipping documents according to contract terms and coordinate system delivery to customer site
  • Provide detailed notes and system information for turnover to support after project completion
  • Adhere to budget by monitoring expenses and implementing cost-saving measures as appropriate
  • Assist Project Administrator and other members of the Program Management team on other tasks as required

 

Experience:

 

  • Minimum of 2 years of administrative experience required.
  • High school diploma or GED equivalent required.
  • Experience in shipping/logistics administration preferred.
  • Experience in Office Suite, and inventory software required.
  • Experience in accounting software preferred.
  • Ability to work independently with good organizational skills is a must.
  • Experience with general purchasing processes for to and from commercial locations.
  • Strong coordination, organization, teaming and communication abilities.
  • Ability to work under pressure and time constraints.

The base hourly range for this position in Salt Lake City is $27.00/hr. to $37.00/hr. The hourly base offered will factor in internal equity and may also vary depending on the candidate's geographic region, job-related knowledge, skills, and relevant experience, among other factors.
