Data Systems information

What are data systems?

Data systems are organized collections of hardware, software, procedures, and personnel designed to capture, store, manage, and analyze data. They help organizations collect information from various sources, store it efficiently, and make it accessible for analysis and decision-making. Data systems can include databases, data warehouses, data lakes, and cloud storage solutions. They play a crucial role in supporting business operations, analytics, and reporting by ensuring data integrity and security.

What are the key skills and qualifications needed to thrive in data systems, and why are they important?

To thrive in Data Systems, you need expertise in data management, database design, and data analysis, typically supported by a degree in computer science or information systems. Familiarity with SQL, data warehousing tools, cloud platforms, and relevant certifications such as AWS Certified Data Analytics or Microsoft Certified: Data Analyst Associate is often required. Strong problem-solving skills, attention to detail, and effective communication set top professionals apart in this field. These skills and qualifications are crucial to efficiently manage, secure, and leverage data for informed business decision-making.

What are some common challenges faced by professionals in data systems roles, and how can they be addressed?

Professionals in Data Systems often encounter challenges such as integrating diverse data sources, ensuring data quality, and maintaining system scalability as data volumes grow. Addressing these issues usually involves working closely with cross-functional teams, adopting robust data governance practices, and leveraging automation tools for data validation and transformation. Proactively staying up-to-date with emerging technologies and industry standards can also help mitigate technical hurdles and ensure system reliability.

Job description

Description
We are seeking a Sales Operations Data & Systems Lead to play a critical role in optimizing the foundation of our revenue architecture and driving overall sales effectiveness. To support company growth and ongoing system optimizations, this role will serve as our primary technical owner for data hygiene, security models, system migrations, and cross-platform reporting.
The ideal candidate is a technical "data detective" and master dashboard builder who thrives on solving complex system architecture challenges. Reporting directly to the Sales Operations Manager, this individual will ensure our data is pristine, our role hierarchies are seamless, and our executive team has clear, actionable analytics to accurately forecast and drive revenue growth.

Key Responsibilities & Focus Areas
Data Hygiene & Technical Audit (30%):
  • Conduct a comprehensive, top-down audit of our Salesforce instance to evaluate field usage, eliminate duplicate or obsolete fields, and resolve data schema misalignments resulting from legacy system migrations and historic data imports.
  • De-duplicate and clean historical account, contact, and opportunity records to establish a single source of truth.
  • Establish and enforce strict data governance best practices to maintain database health moving forward.
Security Architecture & Role Hierarchies (20%):
  • Manage, optimize, and maintain system access within private sharing models and multi-tiered role hierarchies.
  • Restructure profiles, criteria-based sharing rules, and permission sets to resolve visibility roadblocks for sales leadership while maintaining strict corporate data security boundaries.
  • Balance data protection with operational efficiency, ensuring cross-functional teams have the exact access required to execute their roles effectively.
Advanced Analytics, Dashboard Building & BI Integration (20%):
  • Design, build, and maintain high-impact reports and dashboards within Salesforce, tailoring views for sales reps, frontline managers, and executive leadership.
  • Partner with internal data engineering teams to blend CRM data with enterprise data warehouses and BI tools (e.g., Snowflake, DOMO) to provide holistic corporate reporting.
  • Translate complex data sets into visual trends and insights that evaluate pipeline health and drive data-driven business decisions.
Change Management & User Enablement (15%):
  • Act as the primary functional guide for team members adopting new system processes, providing targeted documentation and support.
  • Smoothly manage system updates, field deprecations, and layout changes to minimize disruption to active sales cycles.
Process Documentation & System Governance (10%):
  • Create standard operating procedures (SOPs) and technical documentation covering system workflows, data schemas, and sharing rules.
  • Train new and existing team members on CRM best practices and data entry standards.
Pipeline & Forecasting Alignment (5%):
  • Standardize opportunity stage definitions and pipeline tracking across diverse sales teams.
  • Support recurring forecast reviews with clean data structures that help leadership evaluate win/loss rates, coverage, and performance trends.

Required Qualifications
  • Experience: 4+ years of experience in Sales Operations, Revenue Operations or CRM Systems Management. Direct experience handling complex data migrations, system consolidations, or field architecture cleanup is strongly preferred.
  • Certifications: Advanced Sales Administration Certification highly preferred
  • Data Stack & Tools: Advanced proficiency with data visualization and warehousing tools alongside expert-level skill in Microsoft Excel / Google Sheets for complex data manipulation and cleanup.
  • Analytical Skills: Exceptional ability to audit large datasets, trace data inconsistencies back to root causes, and structure clean database schemas that enable accurate forecasting.
  • Communication: Excellent written and verbal communication skills, with the soft skills needed to train non-technical users and present data clearly to leadership.
  • Project Management: Proven ability to manage multiple technical priorities simultaneously and drive complex system projects to completion in a fast-paced environment.
  • Education: Bachelor's degree in Business, Information Systems, Finance, Computer Science or a related field.
  • Advanced Salesforce Certifications (e.g., Advanced Administrator, Platform App Builder, or Sharing & Visibility Architect).
  • Direct experience writing or troubleshooting custom formulas, validation rules, and automated workflows.
